Job Description – Office Manager / Real Estate Assistant
Reports to: Exective Director, Founder
A growing Accounting, Tax, and Real Estate firm in search of a dynamic and organized office manager to coordinate company operations, including real estate transactions for our clients. In this role, you support the Executive Director by managing his email, calendar, and communication with other team members. you will also support Director of Real Estate and General Counsel.
Core Responsibilities:
- Maintain tracking and follow-up systems for all departments, accounting, tax, and real estate.
- Input all necessary information into client database and transaction management systems.
- Schedule and coordinate property showings.
- Regularly communicate and coordinate with realtors, appraisers, title company, and other parties of real estate transactions.
- Creating and assigning client service tickets.
- Scheduling appointments.
- Answering telephone/emails, document scanning, filing, and general administrative tasks.
- Manage administrative compliance by obtaining all necessary signatures on real estate and tax documentation. Manage client files.
- Provide proactive weekly feedback to sellers regarding all showings and marketing activities.
- Coordinate inspections, and completion of repairs when applicable.
- Coordinate moving/possession schedules.
- Schedule and coordinate closings.
- Schedule 30 Day, 90 Day and 120 Day client customer service follow up calls to assist with any home improvement provider recommendations and to ask for referrals.
Required Experience:

- Have discretion and strong judgment for prioritizing commitments.
- Basic real estate transaction knowledge,
- Excellent written and verbal communication skills,
- Proficiency in Google applications (Gmail, Google Calendar, Google Drive, etc.),
- Great telephone etiquette,
- High technical proficiency with an ability to learn,
- Motivated self-starter. Extremely dependable.
Salary $16/hr. - In office Monday - Friday 9am - 5pm , 30 minute lunch break, two weeks paid vacation. Quarterly performance bonus.
