Job Summary
The Buyer Assistant will provide high-level administrative support to the buyers in the Procurement Department. The Buyer Assistant will perform other purchasing and organizational duties as needed.
Duties/Responsibilities:
· Set up new brokers and vendors using the Edict System for initializing and testing, managing purchase order (PO) transmissions, and any issues with Electronic Data Interchange (EDI) changes.
· Process and send purchase orders at a high volume daily using the AS400 system.
· Enter case codes for new items and item changes.
· Set up any new backhauls in AS400. Get daily printout of backhauls to complete pickups and manage allowances in backhaul system. Send pickup slips to Dispatch Department.
· Manage and launch Grocery Recalls on the Recall Info Link Website to our stores. Work with buyers to complete any paperwork needed for completion. Finalize, bill vendor and create a spreadsheet to credit stores.
· Enter any non-stock items ordered by our stores into the proper non-stock program in the AS400 system.
· Work with the buyer and receiving departments on delivery to warehouse and delivery to store. Print out non-stock paperwork/PO for warehouse. Run the non-stock billing daily from Data Processing.
· Deduct any invoices, handbills, etc. brought over by Data Processing and deliver to the Accounting Department (AD).
· Separate all green sheet invoices into broker folders weekly after billing is processed on Thursday Mornings.
· Prepare Transportation Backhaul Allowances Monthly reports at closeout for the Controller.
· Manage and deduct weekly AD Invoices and AD Funds on Fridays in the absence of the Director of Grocery Systems.
· Assist the buyers with day-to-day operations such as, but not limited to, updating bookings, new item forms, receiving inbound calls from the stores, and implementing store surveys.
Required Skills/Abilities:
· Excellent verbal and written communication skills.
· Excellent organizational skills and attention to detail.
· Excellent time management skills with a proven ability to meet deadlines.
· Ability to function well in a high-paced and at times stressful environment.
· Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
· Able to type a minimum of 50 words per minute.
· Extremely proficient with Microsoft Office Suite and web-based software programs, with the ability to learn new or updated software on a continual basis.
Education and Experience:
· High school diploma required; Bachelor’s degree in Business Administration or related field preferred.
· At least two years of related experience required.
Physical Requirements:
· Prolonged periods sitting at a desk and working on a computer.
· Must be able to lift up to 15 pounds at times.
