Position Overview:
We are seeking a dynamic and highly organized Business Support Manager to play a critical role in our daily operations. This multi-faceted position will support various departments, including Sales, Operations, HR, and Executive Leadership, ensuring seamless administrative processes and efficient communication across the organization. The ideal candidate thrives in a fast-paced changing environment, excels at managing details, and takes pride in knowing everything and being the go-to resource for keeping things on track.
Key Responsibilities:
Sales Support:
- Create sales documents for all new events; coordinate internal resources to support presentations; keep master pricing documents up to date, draft proposals and contracts
- Understand SalesForce inside and out, and serve as the administrator and designer of data, reports, record keeping, etc. Prepare sales metrics and performance reports. C
Operations Support:
- Assist with resource organization, including on-call staff, vendors & suppliers, etc.
- Build, compile and organize event operations folders
- Stay up to date on Catalyst relationship, keeping profiles up to date and bringing new offerings into the fold
- Assist with event preparations, as needed
Human Resources Support:
- Maintain and organize employee records: inventory of company assets (keys, computers, phones), track PTO & company holidays
- Own employee celebrations and special days (birthdays, anniversaries, etc,) as well as training and development (ie: CPR & First Aid)
Executive Support:
- Support the CEO with administrative tasks, including managing calendars, preparing reports, and organizing correspondence.
- Prepare weekly staff meeting agendas, take meeting minutes, and track follow-up tasks to ensure timely execution.
- Serve as a central point of contact for cross-departmental communication and tasks, ensuring key projects and deadlines are tracked
- Assist with high-level tasks that require discretion, including handling sensitive information and maintain confidentiality at all times.
Qualifications:
- Proven experience in an administrative, operations, or project management role.
- Exceptional organizational and multitasking skills with strong attention to detail.
- Excellent written and verbal communication skills.
- Ability to quickly learn and/or proficiency in office tools (specifically SalesForce and the Microsoft Office Suite, Teams, Sharepoint, etc.)
- Ability to work independently, take ownership of projects, prioritize and ensure tasks are completed, and adapt to shifting needs.
- Comfortable navigating ambiguity and working under minimal supervision.
- A proactive problem-solver with a positive, "can-do" attitude.
