Position Overview:
As an Administrative Assistant you will play a pivotal role in managing day-to-day administrative functions to support the efficient operation of our team. From organizing files and handling correspondence to providing backup support for phones and mail, you'll be instrumental in maintaining our office's productivity.
Key Responsibilities:
- File and Folder Management: Efficiently organize and maintain all files, folders, and binders, ensuring easy access and retrieval of important documents.
- Correspondence Handling: Provide backup support for managing mail, emails and phone calls, ensuring prompt and professional responses to inquiries.
- Project Support: Assist in project-related tasks such as filing, scanning, and maintaining project logs to facilitate smooth project execution.
- Shipping and Logistics: Prepare and manage FedEx labels and shipments for project submissions, ensuring timely delivery and documentation.
- Proposal Assistance: Provide backup support for proposal preparation, including formatting documents, organizing materials, and ensuring timely submissions.
Qualifications:
- Organizational Skills: Ability to efficiently manage multiple tasks, prioritize workload, and maintain attention to detail in a fast-paced environment.
- Communication Skills: Strong written and verbal communication skills, with the ability to interact professionally with internal and external stakeholders.
- Tech Proficiency: Proficient in MS Office Suite (Word, Excel, Outlook, Teams) and experience with document management systems.
