We are seeking a dedicated and organized Administrative Assistant to provide administrative support to our senior management team. This role is an excellent opportunity for a motivated, detail-oriented individual with a willingness to learn and grow into a higher-level leadership position.
Position Overview:
The ideal candidate will be a proactive, young professional eager to develop their career by mastering administrative processes, learning industry operations, and contributing to a dynamic team environment. This role offers the opportunity to learn and take ownership of diverse administrative and accounting tasks while supporting a fast-paced senior leadership team.
Key Responsibilities:
- Administrative Support:
- Perform general office duties such as answering phones, maintaining the company address book, filing, organizing office supplies, and ensuring smooth daily operations.
- Project & Service Coordination:
- Assist in coordinating construction and Service project activities, including:
- Project or Service Work Order setup
- Billing processes & Assistance
- Client purchase orders
- Change estimates, change orders, and file maintenance
- Correspondence logs
- Preconstruction Coordination:
- Assist with preconstruction activities such as:
- Bid & sales packages preparation
- Proposals and qualifications documentation
- File maintenance
- Preparation of sales packages and presentations
- Accounts Payable Support:
- Assist with tasks such as:
- Purchasing and Invoice processing
- Subcontractor insurance verification
- Lien waivers processing
- Assisting with check runs
- Monthly reporting
- Accounts Receivable Support:
- Assist with tasks such as:
- Client and sales setup
- Insurance verification
- Purchase order processing
- Insurance certificates and reference checks
- Monthly reporting
- Perform additional administrative and accounting duties as directed by management.

Job Type: Full-time
Pay: $21.41 - $22.32 per hour
Expected hours: 40.0 per week
