Proper Hospitality is seeking a motivated Conference Services Manager to ensure the seamless execution of events and conferences at The Shelborne by Proper, a renowned hotel reopening and debuting in our portfolio in early 2025.


Our property will introduce four vibrant new food & beverage destinations to the neighborhood, each suited for warm weather dining, with an all-day signature restaurant, a lobby bar-lounge, and curated cafe. Resort amenities will include a spacious pool and lush garden lounge, indoor-outdoor cabanas, sundeck terrace, state-of-the-art fitness center, dedicated access to a private beach club, and more than 15,000 square feet of indoor-outdoor meeting & event space.


Job Overview

The Conference Services Manager combines event planning expertise with exceptional client service to deliver bespoke experiences that align with The Shelborne’s luxury standards. Our ideal candidate is a dynamic professional who thrives in a fast-paced environment, excels at building client relationships and is dedicated to exceeding expectations.


Key Responsibilities:


1. Event Planning and Coordination:

  • Serve as the primary point of contact for clients from initial inquiry to event execution
  • Collaborate with clients to understand their vision, goals, and requirements, creating detailed event plans
  • Coordinate all aspects of conferences and events, including catering, audio-visual needs, room setups, and other services
  • Ensure accurate and timely communication of event details to all relevant hotel departments


2. Client Relationship Management:

  • Build and maintain strong relationships with clients, offering personalized service and proactive solutions
  • Conduct site visits, menu tastings, and pre-event meetings to ensure client satisfaction
  • Respond promptly to client inquiries and resolve any issues with professionalism and poise


3. Team Collaboration:

  • Work closely with sales, operations, and culinary teams to deliver flawless events
  • Oversee the on-site execution of events, ensuring all details are implemented according to plan
  • Lead pre-event briefings and post-event debriefs with the team to continually improve service standards


4. Financial and Administrative Responsibilities:

  • Prepare and manage event budgets, ensuring profitability while delivering exceptional value
  • Draft contracts, proposals, and banquet event orders (BEOs) with precision and clarity
  • Monitor and manage billing, ensuring accuracy and timely invoicing


5. Quality Assurance and Brand Standards:

  • Uphold the hotel’s brand standards by delivering memorable, luxury event experiences
  • Monitor event spaces to ensure cleanliness, readiness, and compliance with safety standards
  • Continuously seek opportunities to enhance guest experiences through innovative ideas and attention to detail


Qualifications:

  • Bachelor’s degree in Hospitality Management, Event Planning, or a related field (preferred)
  • Minimum of 3 years of experience in event planning, conference services, or a similar role in a luxury or boutique hotel setting
  • Strong organizational and multitasking skills, with exceptional attention to detail
  • Excellent interpersonal and communication skills, both written and verbal
  • Proficiency in event management software and Microsoft Office Suite
  • Ability to work flexible hours, including evenings and weekends, as required by event schedules
