Job Summary:
In this role, you will be the first point of contact for our visitors and employees, ensuring the office runs smoothly on a day-to-day basis. You'll manage front desk operations, handle administrative tasks, and keep the office organized. From greeting visitors and answering calls to managing office supplies and coordinating meetings, you’ll be instrumental in creating a welcoming and efficient office environment. Your role will involve a combination of administrative support, office management, and customer service, making sure everything is in place for the team to thrive.
Responsibilities & Duties:
Front Desk Operations:
- Greet and assist visitors, clients, and employees in a friendly and professional manner
- Answer, screen, and forward incoming calls while providing basic information as needed
- Manage incoming and outgoing mail, packages, and deliveries
- Maintain the cleanliness and organization of the office and showroom areas
Office Management:
- Oversee daily office operations, including ordering supplies, coordinating maintenance, and liaising with vendors
- Maintain office equipment and ensure the office environment is well-organized and functional
- Assist in scheduling and coordinating meetings, including preparing meeting rooms and managing calendars
- Monitor and manage office budget for supplies and operational expenses
Administrative Support:
- Provide administrative support to executives and other departments as needed
- Prepare reports, spreadsheets, and presentations as required
- Maintain and update office records, including employee contact lists, vendor information, and other key documents
- Assist with onboarding new employees, ensuring they have necessary office supplies and access
- Assist in the planning and execution of company/employee events
Customer Service & Communication:
- Serve as the first point of contact for any office-related inquiries and issues
- Foster a positive, professional environment for staff, clients, and visitors
- Handle any customer inquiries and direct them to the appropriate department or individual
Qualifications:
- Proven experience as an Administrative Assistant, Front Desk Coordinator, or in a similar administrative role
- Strong organizational and multitasking skills
- Excellent communication and interpersonal abilities
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office equipment
- Ability to manage time effectively and prioritize tasks in a dynamic environment
- Professional appearance and attitude
