The Employee Health and Safety (EHS) Administrative Assistant is responsible for providing support and ongoing maintenance of various areas within the Safety Department. This individual will assist with various detail-oriented tasks, utilizing both written and oral communication skills while maintaining a high degree of confidentiality.
ROLE RESPONSIBILITIES
- Assist with EHS communications including safety communication boards, emergency maps, and emergency employee rosters.
- Track and maintain data relating to the Safety Management System for all locations including lagging and leading indicators, OSHA 300/300A logs, inspections and audits, corrective and preventive actions, incident investigations, and first aid logs.
- Assist in coordination with external safety resources contractors and vendors.
- Prepare EHS reports for internal distribution.
- Assist in employee training and manage safety training records and schedules.
- Prepare and provide materials and documentation for EHS orientation. Assist with orientations as needed.
- Assist in Worker's Compensation Claim Management including workplace injury/accident investigation and reporting.
- Promote safety in the workplace.
- Understand and adhere to all company policies.
- Develop and recommend procedural improvements.
- Ensure regulatory compliance through management of individual locations and locations compliance calendar.
- Ensure safety equipment (PPE, fire extinguishers, first aid kits) is properly maintained and readily available for employees.
- Perform other duties as assigned.
- Experience: previous administrative assistant experience preferred.
- Proficiency with Microsoft Suite including Word, Excel, Outlook and PowerPoint and Teams.
- Experience with Electronic Learning Management Systems, Electronic Safety Management Systems and Mobile applications a plus.
- Motivated to improve the safety and effectiveness of their workplace.
- Ability to identify and resolve problems in a timely manner.
- Prioritize and use time efficiently and can multitask.
- High degree of accuracy.
- Excellent data entry, organizational skills, and oral communication skills.
- Team player with a positive attitude.
