Job Summary
We are seeking an experienced Billing/Accounts Manager to oversee one of our billing teams, manage customer accounts, and ensure smooth operations. Key Responsibilities
Account Management:
- Review and approve batches with less than 35% profitability; ensure they align with organizational profitability goals.
- Serve as the primary contact for all work orders, and ensure customers are informed of alternate contacts during your absence.
- Develop and implement customer-focused strategies to maintain and enhance profitability.
- Respond promptly to customer escalations, inquiries, and concerns, and provide regular status updates to ensure satisfaction.
- Assign work orders daily, prioritizing oldest to newest, to meet the company’s 14-day invoicing turnaround requirement.
- Facilitate regular customer meetings to strengthen relationships and continuously optimize account profitability.
- Review WIP/BIP daily to monitor progress and address any outstanding items.
Billing and Financial Oversight:
- Review billing team output for accuracy and resolve discrepancies promptly.
- Monitor work orders daily to ensure all invoicing is completed within 14 days.
- Ensure contract compliance and conduct weekly reviews of customer account performance to identify and address gaps.
- Collaborate with accounting to provide accurate, detailed customer data for collections and resolve payment discrepancies.
- Verify payments and lien waivers to ensure accuracy and compliance with company standards.
Team Leadership:
- Manage and develop team members by conducting regular performance reviews, addressing underperformance, and identifying training opportunities.
- Ensure daily billing goals are met, with the following minimum expectations:
- Billing Assistant: 15-20 invoices/day
- Billing Analyst: 20-30 invoices/day
- Billing Specialist: 30 invoices/day
- Delegate responsibilities strategically to optimize team efficiency and meet department objectives.
- Lead weekly team and one-on-one meetings to address challenges, share updates, and foster a collaborative environment.
- Perform general management duties, including hiring, termination decisions, disciplinary actions, and possible travel for customer meetings or operational coordination.

Technical Proficiency:

Advanced knowledge of Microsoft Office Suite, Adobe, Google Docs, Excel, and accounting software like Ventus.

Familiarity with Service Channel, Office Trax. Verisae, Ecotrak, Nest, Corrigo and other customer portals.
