Position Overview: As a Personal Assistant, you will be responsible for managing a wide range of administrative and personal tasks for our executives. The ideal candidate is detail-oriented, adaptable, and able to handle multiple priorities with ease. You must be discreet, professional, and able to anticipate the needs of the executives you support.
Key Responsibilities:
- Calendar Management: Manage and coordinate the executive’s schedule, including meetings, appointments, and travel arrangements, ensuring optimal time management.
- Travel Coordination: Plan and book domestic and international travel, including flights, accommodations, transportation, and itineraries.
- Communication: Act as the primary point of contact for internal and external communications, including emails, phone calls, and meeting requests.
- Task Prioritization: Assist with prioritizing and managing the executive’s tasks and responsibilities, ensuring deadlines are met and urgent matters are addressed promptly.
- Event Planning: Organize and coordinate events, meetings, and conferences, both in-house and offsite, ensuring all details are handled efficiently.
- Personal Assistance: Handle personal errands and tasks for the executive, such as shopping, scheduling personal appointments, and managing household affairs.
- Document Management: Prepare, review, and edit documents, presentations, and reports as needed.
- Expense Management: Track and manage expenses, prepare expense reports, and handle reimbursements.
- Confidentiality: Handle sensitive information with the highest level of discretion and maintain strict confidentiality at all times.
- Problem Solving: Anticipate potential issues and proactively resolve them to ensure smooth operations.
Qualifications:
- Proven experience as a Personal Assistant, Executive Assistant, or in a similar role.
- Excellent organizational and time-management skills.
- Strong verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with calendar and travel management tools.
- Ability to manage multiple tasks and priorities in a fast-paced environment.
- High level of professionalism, integrity, and discretion.
- Strong attention to detail and a proactive approach to problem-solving.
- Flexibility to work outside regular business hours as needed.
- Ability to adapt to changing demands and requirements with ease.
