Position Overview

We are seeking a highly motivated and organized Project Manager to join our dynamic team at Shearwater Health. This individual will play a key role in overseeing and managing projects for our Operations team, ensuring seamless delivery of services to our clients. Reporting directly to the President of Operations, the Project Manager will work closely with cross-functional teams, clients, and internal stakeholders to drive the successful execution of client projects, from initiation through completion.

In the Project Manager role your responsibilities will include:

  • Project Planning and Coordination: Lead and manage end-to-end project planning and execution, ensuring alignment with client needs and company goals. Develop and maintain detailed project plans, timelines, and resource allocation strategies.
  • Relationship Management: Act as the primary point of contact for clients and internal stakeholders during the project lifecycle. Foster strong relationships with stakeholders to ensure satisfaction and success. Provide regular updates and manage expectations regarding project progress, deliverables, and timelines.
  • Cross-Functional Collaboration: Work closely with internal teams (operations, IT, compliance, etc.) to ensure that project requirements are met. Coordinate resources and support to ensure all project milestones are achieved on time and within scope.
  • Risk Management: Identify potential risks and challenges to project timelines, scope, or resources, and work proactively to mitigate or resolve these issues. Ensure that project risks are communicated to the President of Operations and senior leadership in a timely manner.
  • Quality Assurance and Compliance: Ensure that all project deliverables meet quality standards and comply with relevant healthcare industry regulations (e.g., HIPAA, CMS). Monitor and evaluate the performance of CPO processes to ensure they meet client expectations.
  • Project Documentation: Maintain accurate and up-to-date project documentation, including project charters, status reports, risk logs, and post-project reviews. Ensure all project documentation is accessible to stakeholders and properly archived for future reference.
  • Financial Oversight: Track and report on project budgets, ensuring that projects are delivered within financial parameters. Work with the finance team to ensure proper invoicing and budget forecasting.
  • Continuous Improvement: Identify opportunities for process improvements within project delivery, client engagement, and internal operations. Recommend and implement solutions to enhance project efficiency and effectiveness.

QUALIFICATION REQUIREMENTS:

  • Bachelor’s degree in Business Administration, Healthcare Management, Project Management, or a related field.
  • PMP certification is preferred.
  • 5 years of project management experience, ideally within healthcare BPO, outsourcing, or related industries.
  • Proven experience managing large, complex projects with multiple stakeholders.
  • Strong understanding of healthcare industry regulations, including HIPAA and compliance requirements.
  • Strong organizational, time management, and multitasking skills.
  • Excellent communication skills, both verbal and written, with the ability to interact with clients, team members, and senior leadership.
  • Strong analytical and problem-solving skills with the ability to navigate complex issues and find solutions.
  • Ability to manage and prioritize multiple projects simultaneously, ensuring successful delivery on time and within budget.
  • Proficiency with project management tools/technologies and Microsoft Office Suite.
  • Detail-oriented with a strong focus on quality and compliance.
  • Collaborative team player with a proactive approach to client and team management.
  • Strong sense of ownership and accountability in delivering project outcomes.
  • Adaptable in a fast-paced, client-driven environment.
