We are looking for a receptionist for the 2024 tax filing season. The expected start date is Monday, January 6, 2024. This is a full-time position with possible over time in March and April.

Job Description:
The receptionists plays an integral role here at Slade & Company. You will be the first point of contact for our clients. You will be responsible for the telephone, office calendar, greeting clients, incoming mail/email, taking payments and other clerical duties.
The ideal candidate must have excellent communication and detail oriented. The candidate must also be tech savvy and comfortable on the telephone.
Key Responsibilities:
Client Interaction:
- Greet clients and visitors in a friendly and professional manner.
- Answer and direct phone calls to the appropriate staff members.
- Schedule appointments for clients with tax professionals and bookkeepers.
- Provide basic information about tax and bookkeeping services to clients as needed.
Administrative Support:
- Manage the front desk area, keeping it organized and professional.
- Receive and sort mail, deliveries, and packages.
- Assist clients with forms, documents, and procedures required for tax preparation or bookkeeping services.
- Ensure office supplies are stocked and organized.
- Maintain accurate records of client appointments and transactions
Document Management:
- Assist with the preparation and filing of client paperwork, both electronically and physically.
- Ensure confidentiality and security of client information.
- Prepare tax documents and bookkeeping reports for clients to review or sign.
Data Entry & Filing:
- Enter client information into the office’s accounting and tax software systems.
- Update client records as necessary.
- Assist with the filing and retrieval of documents.
Billings & Payments:
- Process payments for services rendered, including credit card transactions and cash payments.
- Issue receipts and maintain billing records.
- Assist with invoicing clients for tax and bookkeeping services.
Coordination & Communication:
- Coordinate with staff to ensure efficient office operations and communication.
- Relay messages and follow up on client inquiries as necessary.
- Ensure all clients and visitors follow office protocols and adhere to deadlines.
Customer Service
- Provide excellent customer service by addressing client concerns and inquiries in a timely and professional manner.
- Ensure a positive experience for all visitors to the office.
Skills and Qualifications:
- High school diploma or equivalent; additional certifications or coursework in office management or accounting is a plus.
- Previous experience in a receptionist or administrative role, preferably in a tax, accounting, or bookkeeping office.
- Strong organizational and multitasking skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with accounting software is a plus.
- Excellent communication skills, both written and verbal.
- Strong attention to detail and accuracy in data entry and document management.
- Ability to handle confidential information with discretion.
- Friendly, approachable demeanor with a professional attitude.
- Ability to work independently and as part of a team.

This is a full-time/part-time position that may require extended hours during peak tax season. We are looking for a dedicated professional who thrives in a fast-paced, client-focused environment.

Hours:
Tax Season (February - April 15 and September - October 15):
Monday - Thursday: 8:45 AM - 6 PM with 1 hour lunch and two 10 minute breaks.
Fridays: 8:45 AM - 4 PM with 30 minute lunch and two 10 minute breaks.
Off Season (Non-tax season months. 7 months in total):
Monday - Thursday: 8:45 AM - 4pm with 30 minute lunch and two 10 minute breaks.
Fridays: OFF
Requirements:
Education Required: High School
Work Experience: 4 - 6 years office experience. Experience in outlook, excel and CRMs preferred.
