We are looking for someone who possess strong organizational, customer service, and people management skills. The position is responsible for the operations and administration of scheduling and working with multiple providers of counseling/psychotherapy in the mental/behavioral health program to manage referrals and schedules for psychotherapy and assessment services in schools and clinics and psychiatry services in clinic and via telehealth while coordinating with internal and external stakeholders and client treatment teams.

Minimum position requirements:
· Associate’s degree from accredited educational institution (bachelor’s degree in business or human services preferred)
· Experience in area of mental health or child welfare administration
· Knowledge of and/or ability to learn contractual/Medicaid/accreditation standards, insurance requirements, and program specific policies and procedures
· Reliable transportation
Duties include (but are not limited to):
1. Generates, collects, and processes admission/referral correspondence and documentation and required patient file information on referrals. Liaisons with admissions, intake, and utilization review staff.
2. Schedules appointments and maintains office assignments/schedules for clinical staff. Provides communication with referral source and/or families to limit no shows and increase compliance with scheduled appointments.
3. Provides follow-up and follow through communication to referral source(s) and/or families on status of referrals and ongoing need for services
4. Assist with collection and monitoring of clinician caseload and productivity data in collaboration with the Practice Administrator and/or Family Services Supervisor to ensure that clinician schedules and productivity expectations are maximized and efficient.
5. Collects, process, file and monitor clinical service documentation to ensure timely processes and submission to state office and electronic systems in compliance with Medicaid standards, office policy and accreditation standards.
6. Supports and implements office policies and procedures. Provide administrative coverage and support to staff working in office spaces including but not limited to answering and directing calls within and across programs, fielding questions and inquiries from stakeholders and referrals sources, and directing clients appropriately while in office setting.
7. Provides routine and ad hoc oral and written reports on referrals, service delivery, and other information/data related to service delivery.
8. Review and monitor service documentation to ensure timely submission of documentation that meet appropriate billing and insurance standards
Job Type: Full-time
Pay: $28,000.00 - $35,000.00 per year
