Position Overview
The Office Administrator will work closely with the VP of Operations to ensure all office-related needs are efficiently met, providing essential support to keep SPAN Enterprises running smoothly. This role requires a hands-on approach to managing office technology, supplies, vendor relationships, and operational functions, as well as supporting hiring, onboarding, employee benefits, and legal compliance processes.
Key Responsibilities
- Office Technology & Supplies:
- Oversee the day-to-day functionality of office technology, including computers, phones, conference room systems, and other essential equipment.
- Manage inventory of office supplies and coordinate orders to ensure all supplies are well-stocked and organized.
- Act as the primary contact for office vendors, managing relationships and ensuring timely and cost-effective service.
- Hiring and Onboarding Support:
- Collaborate with the VP of Operations in the hiring process, including posting job openings, scheduling interviews, and coordinating communication with candidates.
- Facilitate onboarding for new hires, ensuring they have the necessary equipment, technology access, and benefits information on their first day.
- Benefits Administration:
- Assist employees with benefits enrollment and provide ongoing support for benefit-related inquiries and processes.
- Maintain accurate records of employee enrollments and assist in annual benefits renewal processes.
- Scheduling and Calendar Management:
- Manage scheduling for meetings, events, and conference room bookings to maximize office space and resources.
- Support executive scheduling needs and coordinate calendars as necessary.
- Accounts Payable:
- Process and manage accounts payable, ensuring timely payments to vendors and accurate record-keeping.
- Work across teams to track office-related expenses and assist with budgeting.
Qualifications
- Bachelor’s degree in Business Administration, Accounting, or a related field preferred.
- 1 years of experience in office administration, operations, or a similar role.
- Familiarity with office technology and basic IT troubleshooting is a plus.
Skills:
- Strong organizational skills with the ability to prioritize and manage multiple tasks.
- Proficiency in GSuite, Microsoft Office, and general office technology.
- Excellent communication and interpersonal skills, with the ability to work effectively with vendors, team members, and management.
- Detail-oriented with strong problem-solving abilities.
