Job Summary
We are seeking a highly organized and detail-oriented Office Administrator to join our team. The ideal candidate will be responsible for managing daily office operations, ensuring efficient workflow, and providing support to various departments. This role requires strong communication skills, proficiency in office management software, and the ability to work collaboratively in a fast-paced environment.
Duties
- Oversee daily office operations and ensure a productive work environment.
- Manage vendor relationships and coordinate procurement of office supplies.
- Maintain accurate records using QuickBooks and other software tools.
- Provide clerical support including filing, data entry, and document management.
- Assist with human resources tasks such as onboarding new employees and maintaining personnel files.
- Support medical office management functions as needed, ensuring compliance with relevant regulations.
- Develop and implement training programs for staff development and team management.
- Handle incoming calls with professionalism, demonstrating excellent phone etiquette.
- Coordinate schedules, meetings, and appointments for team members.
Requirements
- Proven experience in office management or administrative roles.
- Proficiency in QuickBooks and other relevant software applications.
- Strong clerical skills with attention to detail and accuracy.
- Familiarity with human resources practices and medical office management is a plus.
- Excellent communication skills, both verbal and written.
- Ability to manage multiple tasks effectively while maintaining a high level of organization.
- Experience in vendor management is desirable.
- Knowledge of phone systems and customer service best practices is essential.
