Position Description
This position will be responsible for managing the school’s accounts payable processes by processing invoices through our automated system, verifying and reconciling transactions, and ensuring timely payments to vendors and suppliers. This role will also manage our internal credit card usage, setting credit limits and reminders for receipt upload and documentation. In addition, this role will serve as the receptionist in our main administrative building, serving as the first point of contact for visitors within the building. This position would be in-person from 8:30am – 3:30pm (35 hours per week) Monday through Friday.
Key Responsibilities
Accounts Payable:
- Process vendor invoices in Yooz ensuring all invoice discrepancies are resolved prior to processing.
- Partner with Paymerang to process weekly vendor payments.
- Prepare internal checks, where applicable, in a timely manner.
- Manage online auto draft payments.
- Maintain accurate records of accounts payable transactions through Veracross, including vendor and W9 management.
- Process annual 1099s.
- Assist in month-end financial closing and reporting.
- Communicate with vendors regarding payment status and discrepancies.
- Partner with Director of Finance on annual audit requests.
- Oversee credit card processing on campus through Visa Spend Clarity for our 30 credit card users, ensuring receipts are uploaded in a timely fashion and working with employees to reconcile.
- Other duties as assigned.
Receptionist Duties:
- Greet and assist visitors in a friendly and professional manner.
- Ensure all visitors are processed through our visitor management system.
- Maintain the reception area to ensure a tidy and welcoming environment.
Candidates with accounts payable or bookkeeping experience are preferred. Experience with Yooz, Veracross or Paymerang, our accounts payable systems, is preferred, but not required. In addition, this candidate must have attention to detail, organizational skills, excellent communication skills, and the ability to maintain accurate financial records. This position will require proficiency in accounting software and Microsoft Office Suite.

The St. Paul’s Schools has a compensation scale based on benchmarked data sourced locally and nationally across independent schools for our administrative and staff positions. For this opportunity, our salary range is $40,000 to $60,000 annually. Candidates with additional experience or qualifications may be offered a salary outside of the range shown.
