Primary duties and responsibilities:
- Daily Attendance Management
- Record and monitor daily attendance for both in-person and online students, ensuring records are accurate and up-to-date.
- Contact parents or guardians of students who are absent or tardy, providing clear information on attendance policies.
- Follow up on unexcused absences or habitual tardiness, escalating issues to school administration when necessary.
- Collect and securely store phones from students arriving late, following school policy to minimize classroom disruptions.
- Greet and assist students, parents, visitors, and staff members who come in and out throughout the day.
- Answer phone calls, respond to inquiries, and direct calls to appropriate staff members.
- Manage the sign-in and sign-out process for visitors and students, ensuring that everyone follows school safety protocols.
- Address the needs of students sent to the office for disciplinary or personal reasons, providing guidance and support.
- Communicate with teachers or administrators as needed regarding students in the office, maintaining a calm and welcoming environment.
- Document and track student visits to the office for behavioral or disciplinary issues, following school protocols.
- Oversee and guide students assigned to community service (cleaning) tasks by administration, ensuring they understand expectations and complete tasks properly.
- Keep the front office organized and presentable, ensuring a welcoming atmosphere for all who enter.
- Monitor inventory of office supplies, ordering replacements as needed and maintaining efficient organization of materials.
- Handle general office upkeep, including organizing paperwork, managing mail, and coordinating deliveries.
- Manage the constant flow of students and parents who come in and out all day, balancing greeting and assisting visitors with other responsibilities.
- Address questions from both students and parents about hybrid learning schedules, procedures, and general school information.
- Assist with school events or projects as assigned, such as distributing information packets, assisting with testing days, or preparing materials.
- Communicate with office staff and administrators about ongoing challenges due to high traffic, suggesting improvements to streamline front office tasks.
- Monitor the front entry area for any safety concerns, ensuring only authorized individuals have access to the school.
- Follow emergency protocols in cases of lockdowns, fire drills, or other situations, guiding students and visitors safely as needed.
- Serve as a central contact point for students, parents, and staff, relaying information between families and school staff as needed.
- Distribute communication materials to parents and students, including updates on school policies, schedules, and other announcements.
- Remain approachable and attentive, fostering a positive atmosphere in the front office that reflects the school’s commitment to student support.
- Perform other duties as assigned.
Job Specific Skills/Abilities:
- Highly developed communication and organization skills.
- Proficiency in use of computer programs including but not limited to Microsoft products.
- Knowledge and understanding of Student Information Systems (SIS)
- Possess a detail-oriented mindset.
- Highly developed editing skills for written correspondence.
- Ability to multitask and prioritize tasks.
- Knowledge of educational, behavioral, and emotional principals and techniques
- Ability to work and interact with all other school personnel and students in a cooperative, collaborative, and courteous manner.
- Understand, demonstrate knowledge of, and follow school policies, rules, and procedures pertinent to the assigned position and duties.
- Understand and carry out oral and written instructions.
Education/Training:
- Current valid Fingerprint Clearance Card
