Job Summary
We are seeking a detail-oriented and organized Office Specialist 2 to join our team. We are expanding our office staff and plan on doubling in size by the end of 2025! The ideal candidate will serve as the first point of contact for our organization, providing exceptional customer service and administrative support. This role requires proficiency in office management and a strong understanding of various office technologies, including phone systems and Google Suite. The Office Specialist will play a crucial role in maintaining efficient office operations while ensuring a welcoming environment for clients and visitors.
The Support Specialist 2 is responsible for providing a high level of support to leadership with daily duties as directed. The Support role will be overseen and will report to the Swift Leadership and work in a team based environment with Support Specialist 1. We are a company that is looking to grow leaders internally and will provide multiple opportunities for growth!
Duties
- Greet and assist visitors at the front desk, providing a professional and friendly first impression.
- Manage incoming calls with excellent phone etiquette, directing calls to appropriate personnel or departments.
- Perform data entry tasks accurately and efficiently, maintaining organized records of client interactions and office documents.
- Utilize Google Suite applications for document creation, scheduling, and communication with team members.
- Support office management tasks, including inventory management, ordering supplies, and maintaining cleanliness in common areas.
- Assist with administrative duties such as filing, scanning documents, and preparing reports as needed.
- Collaborate with team members to ensure smooth operations and effective communication within the office environment.
- Required to hold an active instructor license and teach classes according to standard.
- This will require after hours/weekends occasionally.
- Conduct 1099 Instructor Contractors Orientation.
- Marketing using social media & research.
- Sales calling & quotes.
- Attend events and conventions to grow Swift.
- This role will require after hours/weekends & travel occasionally.
Experience
- Previous experience in an administrative or clerical role.
- Familiarity with phone systems and front desk operations is advantageous.
- Strong customer service skills with the ability to handle inquiries professionally and courteously.
- Proficiency in using computer systems for data entry and document management is essential.
- Experience with Google Suite (Docs, Sheets, Calendar) is highly desirable.
- A keen attention to detail and strong organizational skills are necessary for success in this role.
- Experience in utilizing social media platforms
- Experience in Sales (Strongly Preferred)
