QM Administrative Specialist
The QM Administrative Specialist is responsible for supporting the Quality Department, with secondary responsibilities supporting the Shipping and Purchasing functions. The QM Administrative Specialist reports to the Quality Manager.
Schedule
The QM Administrative Specialist must be available during Technic’s standard business hours in order to properly support company processes. Accordingly, the assigned hours for this position are Monday through Friday, 8:00am to 4:30pm. Deviations from this schedule are not permitted without the approval of the Quality Manager or General Manager.
General Responsibilities and Expectations:
This position has responsibility for administering databases, paperwork, files and internal/external communications pertaining to the Quality, Purchasing and Shipping functions. This position also has responsibility for administering clerical tasks at the Technic office, including local travel for purchasing supplies and other tasks, and may be asked to take on additional tasks and responsibilities when members of the Quality, Purchasing or Shipping teams are absent.
The QM Administrative Specialist must be professional and polite; must work effectively with limited supervision; must understand and act on assigned priorities with a sense of urgency; and must effectively utilize computer functions including email, documents, spreadsheets and company specific applications.
Specific Responsibilities:
Specific responsibilities assigned to the QM Administrative Specialist include but are not limited to:
· Equipment Database: Generate, distribute, record, close and file Work Orders
· Edit, save, distribute and file reports including the Weekly Production Minutes
· Internal Audits and Calibrations: Prepare, coordinate, edit, save and file
· Quality Certifications: Scan, copy, distribute and email; prioritize as needed to facilitate timely shipping of product
· Customer Communications: Email certifications, invoices and other required communications to customer contacts
· Training: Enter and file records pertaining to company training activities
· Purchasing and Shipping: Update databases and file paperwork, including but not limited to shipping logs, manufacturing orders & invoices, and shipping picture records
· Sort and distribute mail
· Administer cafeteria and conference room functions including purchase and setup of food & drink items and other supplies
· Assist in maintaining company records throughout facility, including but not limited to procedure books, specification books, signs and public postings
Job Type: Full-time
Pay: $20.00 - $22.00 per hour
