The Diocese of Toledo is searching for a full- time Administrative Assistant to join the Clergy, Consecrated Life, and Vocations Department. The Administrative Assistant assists the offices of the department by providing administrative and clerical support to ensure the efficient operation of the department consistent with the mission, vision, and values of the Diocese of Toledo.

This is a full-time position, 37.5 hours per week, with a comprehensive benefits package

Primary responsibilities include:

· Process correspondence (written and phone).

· Develops and/or compiles lists, memos, forms, schedules, policies, and procedures, etc. as directed.

· Responsible for copying, collating, distributing materials.

· Maintains files for departments as requested.

· Assists with various events throughout the year for Clergy (i.e., Priests Picnic, Priests’ Jubilee, etc.,).

· Prepares monthly budget reports for each department in the Clergy, Consecrated Life, and Vocations Department.

· Performs all receptionist duties, including recording clear and accurate messages, greeting, and meeting all visitors and handling routine questions.

· Responsible for managing Priest Evaluations and Deacon evaluations.

· Maintains website and database, including regularly updating of material and data.

· Monitors and orders office supplies.

· Works on related special projects and performs other duties as assigned by director.

Candidates for the position must possess:

· At least three (3) years of experience in a professional office environment performing administrative duties, including experience in record keeping, computer databases, and spreadsheets; typing and filing

· Requires a high level of computer expertise in Microsoft Office products, including Word, Excel, PowerPoint, and Outlook.

· Strong interpersonal, written, and verbal communication skills, including ability to produce clear, concise reports and correspondence.

· Demonstrated ability to set priorities and organize work effectively and efficiently including developing and maintaining effective record-keeping systems and calendars. Must have strong organizational skills and the ability to establish and adjust priorities and be self-motivated.

· Provides exceptional level of service to employees, priests and pastors by responding to inquiries quickly, completely, accurately, and professionally.

· Ability to exercise independence and judgment with a high level of confidentiality, working with sensitive and privileged information.

· Must have the ability to respect, promote, accommodate, and not be in conflict with the mission, moral and social teachings, doctrines and laws of the Roman Catholic faith.

Job Type: Full-time

Pay: $18.00 - $20.00 per hour

Expected hours: No less than 37.5 per week
