Background

The Position
The Program Assistant will be responsible for providing administrative support and tracking program data for our programs in the Bronx and Brooklyn as well as our social enterprise. The position reports to the Operations Manager, Bronx Programs. This is a full-time position, working out of HOPE’s Brooklyn location at 1 Smith Street and our Bronx location at 1360 Garrison Avenue. The position will initially be hybrid, working onsite for 3 days per week and 2 days remote, but will transition to fully onsite for 5 days per week.
Responsibilities
- Process weekly payroll for active HOPE participants, transitional staff and interns.
- Troubleshoot stipend requests and concerns from participants.
- Conduct payroll onboarding with HOPE participants and transitional employees receiving stipends/wages using HOPE’s Paycom services.
- Collect data and maintain reports regarding program operations, participant stipends and weekly payroll reports using HOPE Paycom services.
- Prepare and maintain participant documents required by external partners; for completion of state recognized certifications.
- Serve as liaison with external training partners and HOPE staff to coordinate distribution of participant state recognized certifications (physical cards).
- Track data for completed state recognized certification for HOPE participants within Salesforce and Able Safety databases.
- Offer front lobby coverage on in-person work days. Duties may include: welcoming of guests and participants, opening office procedures, receiving packages from delivery vendors, etc.
- Other responsibilities as assigned.
Minimum Qualifications
- High School Diploma or equivalent preferred
- Experience in the fields of construction, building energy-efficiency, property maintenance, or horticulture a plus
- Must have excellent verbal and written communication skills
- Must be highly organized and able to manage both long-term and day-to-day projects
- Understanding of using office software to collect and manipulate data
- Fluent with GSuite applications and file management
- Commitment to social and environmental justice and an ability to convey a deep dedication to the mission of CoolRoofs and Intervine
Salary/Benefits
The salary range for this position is $45,000- $50,000, and is dependent upon experience. HOPE provides a full package of benefits including healthcare and dental insurance, retirement plan, competitive vacation (plus half-day Fridays during summer which is equal to 7.5 additional vacation days, and 12 paid holidays.
