Are you an organized, detail-oriented professional who thrives in a dynamic environment? Our property management company is seeking a Full-Time In-Person Office Manager to join our team. This role ensures our office runs smoothly while supporting our marketing efforts and maintaining a professional environment for staff and clients.
Key Responsibilities:
Office Operations
- Act as the property manager of the corporate office building and manage the tenants' relationships in the building.
- Unlock and secure the office daily, including deactivating/activating the ADT alarm
- Perform a morning building walkthrough to ensure cleanliness, to address graffiti, and the building maintenance needs.
- Restock kitchen, breakroom, and bathroom supplies, managing purchases through Amazon and ensure appropriate expense coding.
- Monitor the janitor log, maintain a clean kitchen by wiping down surfaces, running/emptying the dishwasher, and restocking snacks and beverages.
Administrative Tasks
- Check and respond to office voicemails and emails promptly throughout the day.
- Forward resident complaints to the Property Manager, Regional Manager, and Operations Director, ensuring daily updates to the Resident Concern Trackers.
- Process and distribute mail daily, adhering to a 48-hour delivery timeline.
- Assist with executive tasks and special projects as directed by the Executive team.
- Conduct quarterly check-ins for supply needs, restock and order office supplies.
- Incorporate project management elements by overseeing company-wide programs, managing employee uniforms, enhancing internal communication.
Marketing Support
- Collaborate with the operations team to support campaigns, property listings, and client communications.
- Assist in preparing marketing materials and coordinating logistics for company events and promotional activities.
- Perform websites and IT vendors management and monitor online ratings on platforms such as Google and Facebook.
Qualifications:
- Minimum 5 years' experience in office management or administrative roles.
- Exceptional organizational and multitasking skills.
- Strong communication and interpersonal skills.
- Proficiency in Office Suite, email management, and basic inventory tracking.
- Familiarity with property management operations is a plus but not required.
