What are the responsibilities and job description for the Office Manager position at The Salvation Army Western PA Division?
The Salvation Army's Beaver Falls Corps is hiring an Office Manager to support its daily operations. The Office Manager will coordinate and oversee administrative duties under the direction of the corps officers to ensure the office operates efficiently and smoothly while assisting the community.
Essential Duties and Responsibilities:
- Answer telephone, screen calls, take messages and channel them to the appropriate personnel
- To politely receive visitors and direct them to the appropriate areas
- To perform a variety of typing/clerical duties (computer intake) as required; i.e. correspondence, reports, etc. as well as maintain a neat, orderly filing system
- To receive clients, prepare and complete all necessary paperwork related to provide assistance per request
- Help to see that the building is secure and office machines are properly maintained during working hours (computers, copy machines, etc.) in relations to position
- Make necessary referrals, counseling and provide services as needed by clients
- Properly maintain casework filing system
- Prepare vouchers to grocery stores, gas stations, etc as funding permits
- Complete reports as required, weekly, monthly, quarterly, etc
- Assist with and arrange the paperwork for special events that occur during the year; i.e. Project Bundle Up, Sheetz Christmas, Christmas Applications, etc
- Pick up and drop off mail at Post Office as needed
- Perform additional duties connected to position of employee as requested not specifically outlined in job description
Additional Responsibilities:
- To ensure that the confidentiality of records and information is protected
- To be a responsible team member
- To encourage positive and harmonious working relationships with other staff
- To maintain and promote good public relations on behalf of the agency
- Receive a minimal of personal telephone calls or visits from friends during working hours
Knowledge, Skills and Abilities:
- Proficiency of all Microsoft Office Applications
- Ability to operate office equipment
- High attention to detail and accuracy
- Excellent interpersonal and communication skills
- Ability to relate and respond to employees, management and leadership
- All three PA Clearances required upon employment and thereafter upon renewal date: PA Child Abuse History Clearance, Request for Criminal Record, and Fingerprint based federal criminal history.
- PA Mandated and Permissive Reporting and The Salvation Army’s KeepSAfe training required.
Education and Experience:
- Social Work Degree (B.S.W.) or related degree and at least one year experience in a shelter/residence or crisis oriented family service program.
