The State University of New York (SUNY) seeks a Project Manager & Special Assistant to the Office of Government Relations to work full-time in Albany, NY. The ideal candidate will provide senior administrative support to the Vice Chancellor for Government Relations and other staff within the Office of Government Relations, managing complex operations across multiple levels of engagement. In addition, this position will directly supervise and oversee all administrative and support personnel in the office. The candidate will join a highly collaborative team working to advance SUNY's legislative and policy priorities across local, state and federal levels.

Reporting directly to the Vice Chancellor for Government Relations, the Project Manager & Special Assistant to the Office of Government Relations will provide senior administrative support to the Vice Chancellor for Government Relations and other staff within the Office of Government Relations. In addition, this position will directly supervise and oversee all administrative and support personnel in the office.

The individual holding this position must use good judgment in prioritizing and managing multiple tasks and assignments; be able to interact with senior officials in government and SUNY in a confidential manner; and establish procedures to meet priorities while maintaining an efficient workflow.

Duties And Responsibilities

  • Proactively oversee and administer the day-to-day activities of the office including scheduling meetings; drafting correspondence and meeting agendas; managing and coordinating staff calendars; monitoring the office's budget; and reviewing and approving supply requisitions.
  • Support legislative and stakeholder event planning, coordination, and execution.
  • Maintain the Office's extensive database of contacts.
  • Coordinate complex travel arrangements and reimbursements for the office.
  • Conduct research and gather information for projects.
  • Coordinate briefing materials for meetings.
  • Coordinate responses and solutions for constituent cases brought to SUNY by elected officials and governmental stakeholders.
  • Coordinate the development and distribution of a monthly Office of Government Relations newsletter.
  • Work collaboratively with the Office in producing advocacy related materials.
  • Supervise all administrative support staff within the office, including but not limited to providing support and professional development for other administrative support staff in the office.
  • Other duties as assigned.

Job Requirements

Minimum Qualifications:

  • Associate's degree and/or;
  • Minimum of five to 10 years of executive level administrative support
  • Proficiency in Microsoft Office Suite and Zoom
  • Strong oral and written communication skills
  • Ability to work independently and as part of a team, with excellent interpersonal skills
  • Ability to turn around projects quickly and thoroughly
  • Ability to manage multiple priorities
  • Ability to travel
  • Occasional evenings and weekends as necessary

Preferred Qualifications

  • Bachelor's degree
  • Working knowledge of NYS legislative, budgetary, and policy-making processes
  • Experience supervising other administrative staff
  • Demonstrated project management experience

Additional Information

  • Salary is dependent on a variety of factors, including but not limited to, experience, education, training, and certifications. The range for this position is $67,000 - $80,000.
  • Excellent Benefit Package which includes: NYS health insurance, free dental and vision coverage, competitive retirement options, tuition assistance, parental leave at full pay, and generous vacation, sick, and holiday time. 13 days of paid holidays per year; 21 days of vacation and 21 days of sick time accrued each year.   • The state title for this position is Administrative Staff Assistant (MP5)
  • Management/Confidential appointments work under the leadership and discretion of the appointing authority and are not represented by a union.
  • Must have the ability to travel, occasional nights and weekends as necessary.
  • This position will be based in Albany.
