Summary
As a Billing Coordinator/Office Assistant at Top Circle Inc., this position will play a vital role in managing the company's billing and collection processes and ensuring accurate invoicing for our transportation services which can include invoicing, payments, and customer inquiries . This position will work with clients and other departments to ensure that customers are charged appropriately, payments are collected consistently, and billing processes are efficient. This position is essential to maintaining our operational efficiency and supporting our commitment to exceptional customer service.
Responsibilities
- Reviewing invoice requests: Ensure customer invoice requests are accurate and complete
- Generating invoices: Create and issue invoices to customers
- Processing payments: Track and collect payments from customers
- Resolving discrepancies: Verify the accuracy of invoices and resolve any issues
- Responding to inquiries: Communicate with customers about billing concerns and questions
- Collaborating with other departments: Work with other departments to resolve billing issues and ensure efficient processes
- Maintaining records: Keep accurate records of billing transactions and client information
- Analyzing data: Prepare reports and analyze billing data to identify trends and areas for improvement

Qualifications
- Microsoft Office (Word, Excel) a must.
- 1-2 years of proven experience in billing or accounting roles, preferably within the transportation industry.
- Strong data entry skills with attention to detail for accurate invoicing.
- Excellent time management abilities to handle multiple tasks efficiently.
- Organizational skills to maintain orderly records and documentation.
- Effective communication skills for interacting with customers and team members.
- Ability to use a browser, searching for information and navigating between web pages.
- Customer Service support experience.
