Job Summary
The Assistant Registrar plays an integral role in the management and authenticity of all student records and registration processes. This position collaborates closely with the Registrar to ensure compliance with academic policies and procedures. The efforts of the Assistant Registrar will enhance an academic environment of professionalism and utmost integrity for students, faculty, staff and external stakeholders. The latter of which will contribute to the mission and vision of the University.
Essential Job Duties
- Monitoring of academic regulations and procedures to ensure adherence with FERPA requirement and/or State/Federal Agencies compliance.
- Ensure the integrity, accuracy, and security of all academic records.
- Build and maintain collaborative relationships with University’s leadership to assist academic units in reaching their enrollment, retention and graduation goals.
- Facilitate effective student registration and enrollment in collaboration with academic and student support service areas,
- Utilization of the SIS to complete the processing and/or verification of Grades, CGPAs, Transcripts, Enrollment, Judicial action, Academic actions, Withdrawals, etc.
- Assist in collaborative planning and activities in preparation for Spring Commencement for five (5) Colleges and three (3) schools.
- Reviewing and posting transfer credit equivalencies (AP, 1B, Dual Enrolled, College credits) within our SIS.
- Certification all Student-Athletes to ensure NCAA compliance.
- Coordinate compliance reviews for new and transfer student athletes in accordance with NCAA regulations.
- Counsels and advises students, faculty, and staff on academic matters that will ensure appropriate interpretation and adherence to established policies and procedures of the
- Generate and submit the required monthly National Student Clearinghouse Reports. Make appropriate corrections as deemed necessary following analysis by the NSCH Data Analyst.
- Collaborate with Academic and Student Support Units in generating a variety of generic and/or mandatory (data-driven) Reports/Survey. Ex. IPEDS.
- Implement and monitor academic policies related to student records, such as grade changes, academic standing, and graduation clearance.
- Provide training and support to faculty and staff on the student information system and other technologies related to student registration and records.
- Participate in the development and revision of institutional policies and procedures related to academic records and registration.
- Scheduling in-house Staff meetings and training.
- Collaborate with Office of Information Technology in the enhancement of the Registrar’s Webpage.
- Attend and participate in professional organizations. Ex. ALACRAO, AACRAO, NACADA etc. All other duties as assigned by the Registrar.
Qualifications (Education, Experience and Specialized Training)
- Master’s Degree from fields such as Higher Education Administration or related disciplines. Five years or more of significant and relevant higher education experience including but not limited to demonstrated efficiency and effectiveness in working with student records/evaluation, adherence to academic regulations/procedures and data management compilation.
Physical Demands
- Requires prolonged periods of sitting and repetitive hand/ wrist motion while using computer keyboard and phone.
- Infrequent standing, walking across campus, climbing stairs, bending, stooping, and reaching.
- Constant verbal and written communication.
- Occasional lifting up to 25 pounds.
Skills and Attributes
Knowledge of:
- Registrar Office functions.
- The rules. regulations, and policies regarding student records and application to Degree required Customer Service standards and procedures.
- Records archiving scanning and/or retrieval
- Clear understanding and accurate interpretation of the Family Educational Rights and Privacy Act (FERPA).
- Electronic Degree Audit Software and processes.
- Commencement Processes. Datatel Colleague Software.
