Definition of Classification:
The Associate Dean aids the Dean in the academic administration of the degree and certificate programs of the Graduate School of Theology (GST). This includes the daily management of the Advanced Pastoral Studies Program (DMin, Diploma in Chaplaincy and Spiritual Care Research), the Program in Christian Spirituality (Diploma and Certificate), the MDiv degree, and the MATS degree, and other certificates managed directly by the GST (currently, Certificates in Theological Studies and Trauma and Spiritual Care).
Reporting to the Dean of School of Theology, this position aided by the Dean’s Office Coordinator, offers daily academic support to students in all programs.
Duties and Responsibilities:
The duties and responsibilities include, but are not limited to, the following:
- Assists students with registration, degree requirements, and transcript questions; directs the dean’s Office Coordinator in the execution of relevant university procedures, including forms.
- Liaises with the university Registrar and execute powers of registration delegated by the Registrar.
- Responsible for coordination with the university Registrar and the Graduate Theological Union Registrar in course planning; uses, helps support, and prepares the Office Coordinator to help faculty use Curriculog.
- Collaborates and assists the Dean in training and development of faculty advisors.
- Collaborates with the dean to train and support all adjunct faculty (and supervisors and group leaders in the Program in Christian Spirituality); oversees the contract process and supervises the Office Coordinator in execution of relevant university policies and procedures.
- Coordinates, in consultation with the Dean and other school leadership appointed, a roster of courses that satisfies the needs of academic degree programs and ordination requirements in the PCUSA and other denominations as appropriate, in most cases a multi-year roster.
- Responsible for the transcript audits annually, in consultation with the Dean and the Registrar, to determine those eligible for graduation.
- Monitors student performance with faculty advisors, identify cases of academic probation, consults with students, faculty advisors, and the Dean to redress issues of student performance.
- Monitors all dimensions of student experience, including academic performance, spiritual formation, and community life both on campus and online; and helps coordinate appropriate responses to student needs with the Dean, the co-Chaplains, the faculty, the Student Association Council, and the student housing liaison, as circumstances may require.
- Collaborate with the Dean in the everyday management of the DMin program, sharing responsibilities previously held by the Director of Advanced Pastoral Studies (a position that was eliminated)
- Supports the Dean’s development of strategic initiatives, such as joint degree programs, faculty appointments shared across academic units of the university, study abroad opportunities, church and alumni relations, and enrollment growth; and advises the Dean on the integration of initiatives into the daily administration of academic programs and their impact on student experience.
- Collaborates with the Dean and Office Coordinator in the annual editing and revision of the academic catalogue, Student Handbook, and other program handbooks
- Oversees assigned budget requiring coordination of assigned categorical, general funds, and school resources.
- Leads GST retention efforts, including formulation and revision of policy, and participates as the GST representative in the University’s wider retention efforts, participates in relative committees and working groups.
- Assists the Dean in developing and implementing ongoing, routine learning assessment procedures.
- Participates in routine, ongoing Strategic Directions planning and execution.
- Responsible for the administrative and leadership functions to coordinate GTU and UR Academic Calendars.
- Supports the promotion of DEI at the GST and liaise with the University’s Director of Equity and Title IX and the Senior Diversity and Inclusion Officer.
- Assists the GST Dean in other tasks as need arises.
- Supervise, plan, direct, and assign work of assigned staff; make hiring and disciplinary decisions; provide feedback on performance and approve timesheets.
- Performs other related duties and special projects as assigned.

Experience/Training/Education:
Required
- Master's degree.
- Five years of related experience in higher education, student and leadership development, or experiential learning or comparable professional experience.
- One year of experience in management in higher education management, or equivalent experience.
- Knowledge and understanding of higher education landscape and campus operations.
- Demonstrated commitment to the diversity of students, faculty and staff, and to advancing an inclusive diverse climate that stimulates excellence.
Knowledge and Skills:
- Knowledge and understanding of current principles, practices, and trends in higher education.
- Knowledge of applicable, federal, and state laws and regulations.
- Ability to apply legal and policy standards.

- Must be able to competently interact with a culturally and ethnically diverse population of students, faculty, and staff.

Working Conditions:
Standard office setting. Duties performed are primarily in an office environment while sitting at a desk or computer workstation or in meetings. At least minimal environmental controls to assure health and comfort. This position requires flexibility to work outside normal business hours which may include evening and weekend hours.

HIRING RANGE: Anticipated hiring range is near or at the minimum of the classification, commensurate with candidate's education, experience, skills, and training. This range considers the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience. The full salary range for this position is defined as the Full Pay Range. The budgeted salary or hourly range that the University reasonably expects to pay for this position is defined as the Hiring Range. Placement within the Hiring Range is determined by internal equity, and relevant qualifications.
