The Storeroom Buyer identifies, locates, and purchases the parts, tools, and supplies needed by the various functions of the Facilities Department in order to address the needs of the campus.
Responsibilities
Duties and Responsibilities:
Minimum Qualifications: Requires a high school diploma and one year of experience in storeroom or warehousing with inventory control and accounting related to warehouse/storeroom functions; or an equivalent combination of education, training, and experience.
Preferred Qualifications: 5 years’ experience of similar complexity, scope, and scale with purchasing and contracts; experience in a similar highly structured operation with extensive fiscal policies and procedures; and experience in a facilities management or higher-ed organization is preferred.

The Storeroom Buyer identifies, locates, and purchases the parts, tools, and supplies needed by the various functions of the Facilities Department in order to address the needs of the campus.
Responsibilities
Duties and Responsibilities:
- Places the majority of material and contract service orders for Building Services, Campus Services, Central Energy Plant, Repairs and Maintenance, and Physical Plant Administration; requires thorough knowledge of UT/UTC purchasing and fiscal policies
- Ensure that all invoices are processed in a timely fashion and that all data entry is accurate and reviewed daily
- Inputs order information into the computerized maintenance management system
- Issues purchase orders as needed for materials that are not a part of Capital or special projects
- Solicits quotes for materials and services from vendors and contractors
- Makes decisions concerning vendor selection, material request and continuous work order numbers for material charges, and appropriate method of paperwork/payment process for orders
- Initiates blanket PO’s and time and material contracts
- Coordinates the flow of information between shop personnel and the appropriate vendors regarding purchases
- Advises department personnel on the appropriate procedures for the initiation of orders
- Keeps accurate records of all purchases and tracks the status of various materials on order
- Solicits information from shop personnel, as necessary, to insure smooth processing of material orders
- Works with vendors to ensure accurate billing
- Enters all purchased items in the FPM CMMS system (TMA) as well as Oracle / DASH
- Procurement card holder for the Storeroom, and is responsible for all procurement card reconciliation including reconciliation of the storeroom account in SAP / Oracle (DASH)
- Maintains an accurate list of all departmental PO's to include but not limited to pricing, contract dates, procurement method, as well as specs
- Maintains spend amount for all vendors to insure the $10,000.00 annual threshold is not exceeded
- Reports and reviews vendor spend report to Director of Business Services monthly
- Purchases and issues tools to craftsmen and other campus personnel
- Purchases radios as needed for Facilities
- Periodically reviews usage of inventory and non-inventory items to determine what materials should be kept as stock inventory items
- Purchases safety gear as well as any additional uniform needs for all Facilities shops
- Purchases, issues, and maintains Facilities uniforms which includes working with uniform vendor to ensure accurate billing, items are received as the contract is written, and uniforms are replaced in conjunction with contract terms
- Proficiency working with spreadsheets and word processing software
- Basic understanding of database operations
- General knowledge of tools, parts, and equipment associated with carpentry, electrical, plumbing, HVAC, custodial and grounds
- Strong negotiating skills
- Organizational skills necessary to handle multiple tasks with frequent interruptions
- Integrity and accuracy are essential
- Experience with inventory management software
- Working knowledge of computerized maintenance management systems (CMMS) and database report development
- Knowledge of purchasing and contract principles
- Knowledge of UT/UTC policies and procedures
- Knowledge of building maintenance operations and terminology
- Accounting/bookkeeping or logistics
