Position Summary
Serves as a point of contact to the campus community to recruit, retain, and sustain a high-quality workforce prepared to address challenges in an educational environment. This position is responsible for ensuring adherence to UW System policies throughout the full-cycle recruitment process, including recruitment, screening, and selection of candidates. The incumbent oversees the coordination of all job postings, ensuring they align with university and system requirements, and ensures accurate record-keeping throughout the recruitment process. Additionally, this position provides training and guidance to other staff involved in recruitment activities, promoting consistent best practices across the campus. By maintaining compliance with relevant policies and fostering a streamlined, effective recruitment process, the position helps build a diverse and skilled workforce that supports the university’s mission and goals. The incumbent also assists with offboarding employees, ensuring a smooth transition and adherence to university protocols.
Responsibilities
- Executes recruitment activities and works with assessment and selection strategies that strengthen the institution and/or division’s ability to be a leader in education. Additionally, explores and implements new methods to advertise and promote job openings, expanding outreach and increasing visibility to attract a diverse pool of qualified candidates.
- Collaborates with and provides guidance to unit representatives and hiring managers to deliver effective and efficient strategies that identify, attract, and lead to hiring high-quality talent.
- Builds and strengthens key relationships and serves as a liaison to internal and external stakeholders.
- Serves as a recruitment, assessment, and selection subject matter expert to develop, implement, facilitate and update the institution and/or division’s recruitment, assessment, and selection policies and procedures.
- Implements institutional and/or divisional plans to improve service, ensure compliance, support reporting, and aid in operational and strategic decision-making processes
- Supports the full cycle of the recruiting process including need assessment, search strategy creation, research, recruiting, interviewing, assessments, referencing, offer creation and negotiation, and onboarding coordination for all faculty, academic staff, limited appointments, and university staff.
- Tracks the status of all job postings, monitoring pending approvals and the progress of current recruitments, providing regular updates and ensuring timely follow-up to keep the process moving forward.
- Maintains excellent and accurate records, ensuring all recruitment and personnel data is up-to-date and compliant with institutional standards.
- Conducts training sessions as needed to ensure all search and screen committee personnel are knowledgeable about current policies and procedures, while tracking participation to ensure compliance with required training and standards.
- Ensures that expanded job descriptions are appropriately mapped to standard job descriptions for University of Wisconsin Systems to maintain consistency and compliance across the institution.
- Finalizes all job postings, ensuring they include correct information such as compensation, candidate instructions, necessary verbiage, and are posted on the required platforms in accordance with university guidelines.
- Tracks and analyzes metrics related to the time-to-fill for positions, identifying opportunities for process improvements and exploring new strategies to attract candidates, such as posting on new sites or grassroots outreach.
- Monitors job end dates and keeps managers informed of upcoming expirations, providing guidance on potential extensions or alternatives.
- Oversees the Falcon Orientation and Resource Fairs, acting as the point of contact for all participants, and coordinates with other event organizers to secure rooms and procure supplies.
- Responsible for full-service offboarding, including all communications and system access, ensuring a seamless transition for departing employees.
- Monitors and processes individuals granted Emeritus and Honored Retiree status, managing all related program processes and ensuring proper document retention for these programs.
- Manages the maintenance of accurate internal documents, websites, and organizational charts to reflect changes related to new hires and departing employees.
- Serves as backup to the HR department for all orientation, onboarding tasks, and new hire processes, as well as supporting other department projects and initiatives.
Knowledge Skills and Abilities
Required Qualifications:
- Bachelor’s degree from an accredited four-year college or university required. A degree in human resources, organizational development, business management or a closely related field preferred.
- Three years of experience in recruitment or human resources.
- Experience with recruitment and hiring in a high-volume and/or specialized environment.
- Ability to develop new recruitment processes and identify improvements to achieve desired results.
- Effective oral and written communication skills to communicate and interact with a diverse community (e.g. internal customers: co-workers, staff; external customers: guests, the public and governmental agencies) in person, through written correspondence and via the internet (e.g. email).
- Proficient in the use of word processing (preferably MS Word), spreadsheets (MS Excel), database (preferably MS Access), e-mail, Internet and enterprise resource information systems such as PeopleSoft/Workday.
- Ability to work independently, plan and organize complex tasks, problem solve, establish priorities and complete multiple tasks in stressful conditions under strict timelines.
- Effective organizational and task prioritization skills.
- Ability to establish and maintain effective working relationships with a variety of internal and external contacts and foster teamwork.
- Ability to perform with a high-level of accuracy and attention to detail.
- Ability to maintain confidentiality integral to human resources practices; use discretion in responding to confidential matters.
Valued But Not Required Qualifications:
- Professional in Human Resources or SHRM certification.
- Experience in higher education and/or public service.
