Job Summary:
Under direction of the Department Supervisor, the Scheduler schedules, cancels, and reschedules patient surgeries for various procedures. The Scheduler also provides office support for patient service areas as needed.
Job Description:
Essential Duties and Responsibilities:
- Secure, verify, code and perform data input of patient demographic, insurance, clinic fee and hospital service charge information for billing and medical records purposes
- Answer phones and schedule initial and follow-up visits
- Schedule/reschedule inside and outside requests for various procedures
- Must know amount of time required for procedures and times that they cannot be scheduled
- All patients must be scheduled for specific procedures within the departmental guidelines
- Review with patient the preparation instructions for procedures and assure they understand where procedure is located. If mailing instructions, make sure the patient is contacted by telephone to they understand instructions and location
- Notify outside offices of procedure dates and fax necessary information for authorization
- All scheduled procedures are documented with the appropriate updated information for arrivals, no shows, cancellations, and rescheduled appointments using Athena
- Obtain authorization for all procedures that require them, i.e. complete forms and fax to appropriate area(s)
- Make sure to receive the proper authorizations for each insurance and document authorization number within Athena
- Schedule emergency cases as requested by physicians or hospital discharges that need follow-up procedures
- Perform related duties as assigned
Education, Licensure/Certification, and Training:
- High School diploma or equivalent required
- Associate’s degree in Business or related field preferred
- 2 - 3 years scheduling experience in an Ambulatory Care/hospital setting
- Medical office background and knowledge of medical insurances highly preferred
Skills and Abilities:
- Interpersonal skills necessary to maintain productive working relationships with people inside and outside patient service area
- Excellent communication and listening skills necessary to gather information to match patient needs to physician specialty and schedule appointments accordingly in a timely manner
- Analytical ability to facilitate problem resolution regarding patient appointment needs
- Operation of standard office equipment and computer keyboards to perform duties assigned
Safety Requirements:
- Compliance with Departmental Health and Safety policies and procedures
Working Conditions/Schedule:
- 40-hour work week, hours and days to be determined by the business needs of the department. Additional hours may be required
