Responsibilities:
• Answer telephone, screen and direct calls
• Take and relay messages
• Provide information to callers
• Greet persons entering organization
• Process new ILA applicants
• Process I9
• Deal with inquiries from the public and workers
• Ensure knowledge of staff movements in and out of organization
• Monitor visitor access and maintain security awareness
• Distribute, receive and sort mail, deliveries, and payroll checks
• Distribute incoming electronic faxes accordingly
• Organize conference and meeting room bookings
• Coordinate meetings and organize catering when necessary
• Monitor and maintain office equipment
• Control inventory relevant to reception area and general office supplies
• Maintain the reception, conference room, and common areas
• At times, may provide information to customers and receive payments
• May enter data and perform light administrative tasks
• Assign hazmat and basic training after management review and approval
• Any other administrative tasks and back ups to office staff as required
Required Qualifications:
• High School Diploma or equivalent
• At least 1 year of Receptionist Experience
• Knowledge of computers and relevant software applications
• Must have outstanding customer service and communication skills
• Must be able to multi task and handle a fast-paced working environment
• Must be organized and be able to prioritize projects
• Must maintain a professional appearance and demeanor
• Ability to work a multi-line telephone system
Required Schedule:
Monday - Wednesday & Friday
8am - 5pm
Thursday
5am - 2pm
