The Part-Time Facilities Manager is responsible for managing the upkeep of the Museum’s building and grounds. This includes overseeing maintenance, supervising and coordinating with technical staff, and managing service contracts. The Facilities Manager ensures that both staff and external contractors maintain the facility’s cleanliness and safety, with the overall visitor experience in mind. Additionally, this role supports the Events team in preparing for and staffing Museum internal and private rental events. This is a Regular Part-Time position, requiring 20-34 hours per week.
Essential Functions:
Building Management (75%)
· Oversee the operation and monitoring of the heating, ventilation, and air conditioning (HVAC) systems to protect and preserve the Museum's collection, building, and staff, utilizing advanced technology for monitoring.
· Build and maintain relationships with vendors for HVAC, security, fire protection, telephone systems, and general maintenance. Meet with vendors on-site and manage contract negotiations.
· Serve as the primary point of contact for weekday security (24/7) regarding irregular building openings/closings, false alarms, and any security system issues. Issue security passes for staff.
· Maintain and operate the emergency generator and power distribution system.
· Assess campus strategy and needs, manage capital projects, and provide assistance with exhibition project construction as needed.
· Manage Museum's custodial staff and external cleaning services, implementing best practices for cleanliness.
· Ensure the museum grounds are safe, clean, and well-maintained, with timely snow removal during winter months.
· Keep an inventory of cleaning and building supplies.
· Plan and manage the annual facilities budget; oversee purchasing for grounds and facilities, and ensure timely approval and coding of all invoices.
· Collaborate with all teams and support special events, assisting with setup, teardown, cleanup, and day of staffing as needed.
· Supervise staff by assigning daily and weekly priorities, scheduling, managing time off, approving time cards, validating reported hours, evaluating performance, training as necessary, and maintaining regular communication.
· Coordinate and organize all safety training sessions.
Minimum Qualifications:
1. An Associate Degree in a relevant field is preferred, or 3-6 years of progressively responsible experience in a related area.
2. Preferred 2 to 4 years of supervisory experience in managing a commercial or institutional facility.
3. Proven expertise in heating, boilers, air conditioning, electrical, and plumbing systems, including maintenance and repair of equipment.
4. Strong computer and technology skills are required, with the ability to understand complex systems related to facility operations, including security cameras.
5. Knowledge of cleaning, maintenance, safety, and security procedures is essential. Must be able to adhere to the Museum's safety and security protocols.
6. Valid PA driver’s license – must arrive promptly and be reliable.
7. Ability to work evenings and weekends as needed.
Physical Work Environment:
1. Must be able to lift and carry at least 50 pounds.
2. Will be exposed to extreme hot, cold (including snow and rain) in performing job duties.
3. May be exposed to heights in performing job duties.
The pay rate for this position is $25/hour.
