Position Overview:
The Dealership Controller is responsible for overseeing the dealership’s financial operations, ensuring the accuracy of financial records, managing accounting processes, and maintaining compliance with relevant regulations. This role also includes overseeing human resources functions and office management to ensure the dealership runs smoothly and efficiently. The Controller will work closely with the General Manger and management team to provide financial insights and support the business's growth while ensuring proper administration of HR processes.
Key Responsibilities:
1. Financial Management:
- Oversee the dealership’s accounting functions, including accounts payable, accounts receivable, payroll, and general ledger.
- Maintain and uphold all accounting procedures in place for all respective departments.
- Prepare and review monthly, quarterly, and annual financial statements.
- Conduct financial analysis and provide insights into profitability, cash flow, and expenses.
- Ensure compliance with all accounting standards, dealership policies, and regulatory requirements.
- Coordinate and prepare for internal and external audits, providing necessary documents and information to auditors. (State, Manufacturer and Flooring audits, etc)
- Collaborate with department heads to analyze financial performance and provide insights for improvement.
- Manage the dealership’s cash flow, budgets, forecasts, and financial reporting.
2. Human Resources (HR):
- Manage the recruitment, hiring, and onboarding process for new employees.
- Coordinate, Develop, and enforce with Management team, HR policies and procedures.
- Maintain employee records and manage benefits administration, including health insurance, retirement plans, and other employee benefits.
- Ensure compliance with labor laws, including wage and hour laws, and oversee employee relations and conflict resolution.
- Administer payroll, ensuring timely and accurate payment to employees.
- Oversee workplace safety protocols and ensure compliance with OSHA regulations.
- Provide guidance and support to management on HR policies and best practices.
- Support the dealership in fostering a positive workplace culture.
3. Office Management:
- Oversee daily office operations and ensure the dealership is fully stocked with necessary office supplies.
- Manage vendor relationships, including negotiating contracts and service agreements.
- Supervise office staff, including administrative assistants and receptionists, ensuring efficient workflows.
- Maintain office organization, including filing systems, equipment, and technology.
- Ensure the dealership is compliant with health, safety, and environmental regulations.
- Provide administrative support to management and other departments as needed.
4. Leadership & Collaboration:
- Lead and mentor a small team within the finance, HR, and office management areas.
- Provide financial training and support for staff, ensuring financial policies and procedures are followed.
5. Special Projects and Other Duties:
- Assist in special projects, such as acquisitions, expansions, or new system implementations.
- Continuously improve financial processes, office efficiencies, and HR policies.
- Perform other duties as assigned by management.
Qualifications:
Education:
Experience:
- At least 5 years of experience in accounting/finance, with a minimum of 2 years in a management or supervisory role.
- Previous experience in a dealership environment is a plus.
- Previous experience with DealerTrack, CDK, etc.
- Proven experience in HR management, office administration, and staff supervision.
Skills and Competencies:
- Strong knowledge of accounting principles and financial reporting.
- Proficient in accounting software and Microsoft Office Suite (Excel, Word, PowerPoint).
- Strong leadership and team management abilities.
- Event Management and Planning.
- Excellent communication skills, both written and verbal.
