The Card Services Specialist delivers exceptional front-line customer service, responding to general inquiries from Campus visitors, faculty, staff, students, parents, and affiliates. The position is responsible for covering front office operations and upholding existing policies and procedures of the William & Mary and Tribe Card Services.
Specific responsibilities also include (but are not limited to):
The Card Services Specialist delivers exceptional front-line customer service, responding to general inquiries from Campus visitors, faculty, staff, students, parents, and affiliates. The position is responsible for covering front office operations and upholding existing policies and procedures of the William & Mary and Tribe Card Services.
Specific responsibilities also include (but are not limited to):
- Answer TEAMS calls and messaging daily
- Verify identity credentials, review photos for compliance, ensure card operability, and issue W&M ID cards
- Operate/troubleshoot card printers, card production workstations, mobile devices, to
- include i-pads, Clover device, cellular devices, and POS devices
- Process payments for ID cards, W&M Express deposits,
- Prepare deposits, financial reports, and maintain accurate transaction logs. Audit financial records.
- Actively participate in W&M Express marketing, promotions, and merchant relations
- Assist with office maintenance, organization, supplies, inventory, and surplus
- With guidance from management, monitor email accounts, web pages, and social media channels
- Assist with campus-wide monitoring of vending operations
- Safely operate golf cart following applicable regulations.
- Perform other duties as assigned by Assistant Manager/Manager
Conditions of Employment
- This is a non-exempt position, eligible to receive overtime in accordance with the Fair Labor Standards Act. This position may be subject to overtime during high peak times, etc. as directed and approved by the supervisor.
- This position may be subject to overtime hours during card production events. This position may come into work on weekends, holidays for events and in emergency situations (i.e. may be subject to “on-call” responsibilities in the event of equipment failure).
- Valid driver’s license
- The hours for this position are 8:00 a.m. to 5:00 p.m., Monday – Friday.

Required Qualifications
- High School graduate or equivalent
- Working knowledge of professional office practices and procedures;
- Proficiency with Microsoft Office: Word, Excel, Outlook, Internet browser and Social Media platforms;
- Demonstrated ability to learn card production software and apply new skills quickly and accurately;
- Demonstrated ability to read, comprehend and implement operating procedures and instructions;
- Proficiency & experience with data entry
- Familiarity with basic web searches, database queries and financial concepts.
- Excellent interpersonal skills with ability to interact with all levels of personnel and the general public in a professional and effective manner;
- Demonstrated ability to exercise discretion, tact, and diplomacy while handling difficult client situations;
- Prior customer service experience
- Outstanding organizational skills with the ability to prioritize multiple projects simultaneously in a fast-paced environment;
- Demonstrated ability to sustain strong attention to detail and execute complex instructions with precision;
- Previous financial processing and point of sales experience; or equivalent knowledge of basic accounting practices to include ability to accurately count and handle money;
- Valid driver’s license; and ability to safely to operate golf cart in accordance with applicable regulations.
Preferred Qualifications
- Associates Degree or above in a business, administrative or technical field;
- Experience with the Atrium System, Instant ID software, Clover device, i-pads, cellular
- devices and mobile apps, or other enterprise campus card systems, card production and card design software.
- Previous experience in a higher education environment; familiarity with Auxiliary Services operations
- Previous experience with Meal Plan and/or SV&C declining balance account administration.
- Experience generating financial reports and the ability to analyze and reconcile financial data.
- Experience with event organization, digital calendar maintenance, social media marketing or web building software;
- Ability to troubleshoot and update firmware, and operating systems on small electronic equipment and mobile devices
- Experience in training end users including preparing process guides and procedure manuals.
- Familiarity with higher education regulations including FERPA, PCI, and GLBA compliance
- Understanding of relational database structures and managing database information
