Job Summary
The Business Licensing Specialist is responsible for managing the licensing processes required for the company’s business operations, ensuring compliance with all regulatory requirements at local, state, and federal levels. This role includes obtaining, renewing, and maintaining business licenses and permits while overseeing the preparation and submission of necessary documentation. The position collaborates with finance, operations, and other departments to ensure compliance with licensing regulations.
Key Responsibilities
Business License Management:
- Oversee the acquisition, renewal, and maintenance of business licenses, permits, and certifications required to operate across different jurisdictions (local, state, federal).
- Monitor the expiration dates of licenses and permits, ensuring timely renewals to prevent lapses in compliance.
- Keep records of all licensing documents, approvals, and applications.
Compliance & Regulatory Oversight:
- Ensure compliance with all relevant local, state, and federal regulations related to business operations, including industry-specific rules and standards.
- Track changes in laws and regulations, proactively managing the adaptation of licensing requirements.
- Advise management on regulatory issues and steps necessary to obtain or maintain licenses for new markets.
License Application & Submission:
- Prepare, review, and submit business license applications, permits, and other necessary regulatory filings accurately and within deadlines.
- Liaise with governmental agencies, regulators, and third-party organizations to resolve issues related to business licenses.
Cross-Department Collaboration:
- Partner with finance and operations teams to ensure that new business locations, products, or services meet licensing requirements.
- Support strategic growth by assessing business needs for new licenses or permits.
Documentation & Record Keeping:
- Maintain a comprehensive database of all business licenses, including license type, status, jurisdiction, and renewal dates.
- Ensure licensing information is up-to-date and accessible for audits or inquiries.
Vendor and Government Relations:
- Build and maintain relationships with government authorities, regulatory bodies, and third-party service providers.
- Negotiate with licensing agencies to address disputes or fees.
Audit & Risk Management:
- Conduct periodic internal audits of business licenses and associated documentation to ensure compliance.
- Assess risks related to licensing lapses or violations and recommend corrective actions.
Reporting & Training:
- Prepare reports on licensing status and compliance metrics for senior management.
- Train relevant teams on licensing requirements and compliance processes.
Qualifications
Qualifications
Education:
- Bachelor’s degree in Business Administration, Law, Regulatory Affairs, or a related field.
- Professional certifications in business licensing or compliance management (e.g., CLP - Certified Licensing Professional) are a plus.
Experience:
- 5 years of experience in business licensing, regulatory compliance, or a related field.
- - Notary or be eligible to become a notary in Texas
- Experience managing complex licensing processes in a regulated industry (e.g., healthcare, finance, manufacturing) is preferred.
- Knowledge of business licensing software or database management systems is a plus.
Skills:
- Strong knowledge of business licensing laws and regulations across various jurisdictions.
- Exceptional organizational and project management skills to manage multiple licensing tasks.
- Effective communication skills for liaising with government officials, regulators, and internal teams.
- Attention to detail and proficiency in handling complex documentation and legal requirements.
- Analytical and problem-solving abilities to resolve licensing-related issues.
- Proficiency in Microsoft Office Suite and licensing management software.
Compensation & Benefits
- Competitive hourly rate commensurate with experience ranging from $45,000 to $65,000.

Working Conditions
- Primarily office-based role with occasional travel to meet with regulatory agencies or stakeholders as required.
