The Office & Junior HR Assistant will be responsible for managing the reception and day-to-day office operations while supporting the HR department with administrative tasks, such as tracking employee attendance. This is a front-facing role requiring strong organizational skills, attention to detail, and a professional demeanor.
This is a front office role and we are looking for candidates who can demonstrate relevant experience and a strong ability to maintain structure and professionalism in a dynamic environment. Due to the volume of applications, only candidates who meet the key criteria will be contacted.
What will you do:
Office Responsibilities:
- Oversee reception and daily office operations, ensuring a well-organized workspace, including greeting visitors and managing package deliveries.
- Manage incoming calls, emails, and correspondence (both digital and physical).
- Coordinate office supply inventory, place orders as necessary, and oversee general office maintenance while liaising with service providers.
- Facilitate and assist with the coordination of global visitors.
- Maintain accurate physical and digital records and files, assist with data entry, document formatting, and report generation.
HR Responsibilities:
- Perform various administrative tasks relevant to the HR department.
- Monitor daily employee attendance and ensure the efficient operation of the Work Card system
- Support the maintenance of HR databases with a focus on accuracy and report generation.
- Assist with onboarding processes, ensuring seamless integration for new hires on their first day.
- Assist with the maintenance and monitoring of employee time-off records (vacation, sick leave, etc.).
- Assist with HR projects and other initiatives as needed.
What you need to succeed:
- Bachelor’s degree in Business Administration, HR, Facilities Management, or related field.
- Previous experience with office management duties
- HR Admin experience will be considered as a plus
- Strong organizational, project management, and communication skills.
- Proficiency in Microsoft Office especially excel is a must.
- Advanced English.
- High ethical standards, discretion, confidentiality, professionalism.
