We are seeking a highly organized and detail-oriented Documentation Manager to set up, manage, and oversee the document control process for our offshore wind project in Korea. The successful candidate will be responsible for defining and maintaining the Electronic Document Management System (EDMS) throughout various project phases, ensuring compliance with company, project, and regulatory standards, and facilitating smooth communication between internal and external stakeholders.
You will support initiatives including:
- Develop and implement a comprehensive document management strategy and plan, ensuring alignment with project phases and confidentiality guidelines.
- Manage the administration of the Electronic Document Management System (EDMS), including customization to project needs and user profile maintenance.
- Establish and manage document review and approval processes to ensure fast and efficient document control throughout the project lifecycle.
- Define project documentation requirements and coordinate timely submission from contractors and internal stakeholders.
- Develop and maintain a centralized document status reporting system for tracking package progress and compliance.
- Prepare and manage a data room to support project due diligence before the Final Investment Decision (FID).
- Oversee the development, maintenance, and archiving of project documentation, ensuring accuracy and completeness.
- Facilitate handover, closeout, and transfer of project documentation to Operations in compliance with project and regulatory requirements.
- Create training materials and provide training for internal and external stakeholders on EDMS usage and document management processes.
- Monitor document control processes, identify gaps, and implement improvements to enhance efficiency and compliance.
- With support from package managers, ensure suppliers follow project documentation guidelines and quality standards.
To succeed in this role, you:
- Bachelor's degree or equivalent experience in document management, project management, or a related field.
- Fluency in both written and spoken English and Korean.
- Strong proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, SharePoint).
- Minimum 5 years experience with Electronic Document Management Systems (EDMS), with a preference for experience with Omega 365
- Experience with large-scale infrastructure projects in a fast-paced environment (Offshore Wind or Oil & Gas EPC experience is a plus).
- Strong organizational and coordination skills with attention to detail.
- Excellent understanding of database handling and metadata.
- Ability to manage multiple priorities and work effectively under pressure.
- Effective communication and stakeholder management skills.
