Responsibilities
Coordinate and schedule meetings and appointments for staff and management;
Manage business travel arrangements, including flights, transportation, and accommodations, while providing emergency support as needed;
Oversee daily office operations to ensure a well-organized and efficient workplace;
Implement and maintain office policies and procedures;
Manage office supplies inventory, handle procurement, and coordinate with vendors, service providers, and building administration;
Ensure the office environment is clean, organized, and well-maintained, arranging repairs and maintenance as necessary;
Handle incoming and outgoing mail, packages, and courier services;
Greet and assist visitors, manage inquiries, and direct them to the appropriate contacts;
Perform receptionist duties as needed;
Ensure compliance with local regulations, health and safety standards, and company policies;
Support administrative tasks such as document management, invoicing, and correspondence;
Plan and coordinate company events, including team-building activities, holiday parties, and off-site meetings;
Support non-technical facility operations, including parking management and ad-hoc tasks;
Liaise with cleaning services and other office service providers to ensure smooth operations;
Conduct regular inspections of office facilities to identify maintenance needs and safety concerns;
Act as the point of contact for facility-related emergencies, ensuring timely response and resolution when necessary, particularly in the absence of the Facilities Manager;
Foster a positive office culture through engagement initiatives and activities;
Requirements
Proven experience minimum 3 years of experience as an Office Manager or Facilities Coordinator or a similar role;
Fluency in Greek and English, both written and spoken;
Proficiency in MS Office and office management software;
Strong organizational and multitasking skills with the ability to prioritize tasks efficiently;
Excellent verbal and written communication skills;
Strong problem-solving skills and a proactive approach to office management.
Business level proficiency in English or above (equivalent to B2 or above in CEFR)
