The QA Officer is an integral role within the DBS Registrar’s Office supporting the development, implementation, monitoring and review of all quality assurance procedures relating to delivery of programmes. Each QA Officer has specific assigned responsibilities in areas including Academic Integrity, External Examiner processes, academic appeals and approval of faculty appointments.
In conjunction with the other members of the Registrar’s Team, the QA Officer also contributes to the development of new policy and the updating of existing policy, including research and benchmarking of best practices internally and externally to inform policy-making. The QA Officer is also responsible for ensuring the administration and accurate and appropriate recording and storage of records and associated documentation under their areas of responsibility.
The QA Officer will have a good working knowledge of College regulations and will provide support to Faculty and Academic Teams, the Exams Team, Academic Operations and Student Support with respect to the application of regulations, policy and process.
This is a position of responsibility that requires the ability to work autonomously and the confidence to provide sound direction and guidance to colleagues, both junior and senior, with respect to quality assurance requirements and procedures.
Key Responsibilities:
Conduct internal review and consultation on policy on academic integrity with all stakeholders.
Attend NAIN meetings and actively contribute to working groups.
Coordinate, review and investigation of suspected cases of academic misconduct, including convening of Academic Impropriety Committee and communication with impacted learners.
Coordinate and oversee the process for learner appeals.
Track and report on all data relating to academic misconduct.
Lead the Academic Integrity Task Force to design and implement an Academic Integrity Project
Benchmark policy on academic integrity against national and international best practice, including NAIN standards and lexicon.
Support the Examinations Office in ensuring QA oversight and integrity of examination sessions.
Provide guidance to the academic and administration teams in ensuring standardisation in the implementation of processes and procedures relating to assessment.
Develop and write policy and carry out updates to the DBS Quality Assurance Handbook and associated processes and Standard Operating Procedures.
Coordinate the processes for processing academic appeals and other academic student issues as required, ensuring correct procedures are followed and documented, ensuring co-review of all cases.
Training and support of academic and administrative staff on policy and procedure.
Liaison with QQI and other professional and statutory bodies.
Support other stakeholders and contribute to QQI QA activities such as reporting, validations and site visits, as required.
Secretary to sub-committees of the Academic Board as required.
Chairing Boards and Committees as required.
Representation on QQI and external body committees and working groups as relevant.
Assist in the management of student information and updating of student records.
Any other duties commensurate with the post.
Personnel Specification:
The successful candidate will have the following essential attributes:
Qualified to level 8.
Proven experience working within a regulatory framework.
An experienced administrator.
Knowledge and understanding of quality assurance in a further or higher education context.
Evidence of being a highly organised worker.
Proven ability to work under their own initiative and as part of a team.
Accuracy and attention to detail.
A highly effective communicator, verbally and in writing.
The following are desirable attributes of the successful candidate:
Experience in policy or procedure development and or review;
Experience in delivering training or guidance to others
Familiarity with QQI requirements for higher education providers
