In accordance with the clinic's policies and procedures, the administrative medical assistant is responsible for answering all incoming telephone calls, scheduling patient appointments, and assisting with the retrieval and filing of medical records. This role encompasses general front desk operations and ensures the smooth functioning of the clinic's administrative tasks.
Duties and Responsibilities
- Customer Service:
- Deliver A customer service to all patients and visitors.
- Patient Registration:
- Register new patients by verifying that all required paperwork is completed, signed, and scanned.
- Provide and scan the S/F application where applicable.
- Collect and scan appropriate proof of income.
- Check-In Procedures for Same Day Appointments:
- Verify and update patient demographics at each visit.
- Notate billing information on the printed schedule and ensure S/F verification where applicable.
- Insurance Verification:
- Verify insurance details and scan them into each patient’s chart during every visit.
- Monetary Transactions:
- Collect payments for appointments, apply payment agreements when applicable, and process credit card transactions.
- Reconcile all collected funds at the end of the day by running the EBO and e-payment reports, then secure petty cash deposits.
- Appointment Management:
- Manage cancellations, rescheduling, and no-show appointments by marking them as non-billable.
- Collaborative Tasks:
- Work closely with intake specialists across various departments.
- Answer additional calls as necessary.
- Document Handling:
- Retrieve and scan documents from the copier.
- Log ER or hospital visits and submit weekly reports.
- Retrieve ER or hospital records as needed.
- Create telephone encounters and assign them to the appropriate staff.
- Communication Tasks:
- Fax and receive documents as needed.
- Appointment Scheduling:
- Schedule appointments for labs, nurse visits, provider visits, and other services.
- Departmental Support:
- Assist in other departments when needed.
- Additional Work Hours:
- Rotate front desk duties on Saturdays at the Family Practice (8 am – 12 pm).
- Work after-hours schedules (Tues./Thurs. 11:30 am – 8:30 pm) where applicable.
- Other Duties:
- Perform any additional tasks as assigned by the supervisor.
Evaluation
The evaluation of work performance—including specific duties, responsibilities, demeanor, and work ethic—will be ongoing and carried out by the supervisor in accordance with the clinic's policies.
Minimum Qualifications
- High school diploma or GED.
- At least 2 years of customer service experience.
- Bilingual in Spanish is a plus.
- Strong organizational skills.
- Excellent oral and written communication skills.
- Ability to multitask effectively.
