Summary:
The PMO scope is inclusive of information technology, facilities, regulatory compliance, and process improvement projects in addition to including leading cross-functional efforts to drive standardization, stabilization and simplification of the business process; drives operational excellence implementation to improve operations and business processes across companies, units and departments.
The Senior Project Manager is responsible for the successful planning and coordination of large, complex projects and programs, status reporting, developing and tracking project plans in addition to managing risks and issues with cross-functional stakeholders, project sponsors, business owners, partners, and team members. This role is also responsible for synthesizing information into an executive dashboard and performing regular health checks on project and program management best practice guidelines, and mentoring Project Coordinator and Project Analyst team members.
Essential Functions & Responsibilities:
- Collaborate with manager and PMO team on suggestions to simplify and improve the project methodology and control environment.
- Develop and maintain process flows, procedures, project tools and templates.
- Consistently develop project plans and track completion of tasks and deliverables, anticipating and overcoming issues and obstacles.
- Support estimation of project effort and duration across multiple business companies and departments.
- Develop domain knowledge of the company’s businesses to include an understanding of short-term goals and long-term strategies for the organization.
- Lead with influence through ongoing development of relationships across the organization.
- Maintain consistent, tracked change control process.
- Create, manage, maintain, and update standard forms, templates, and tools. Where appropriate, migrate paper to electronic and work with technology group to automate template/form completion.
- Maintain the Master Schedule for key projects and events.
- Work closely with other teams and Senior Management to ensure that key projects are tracked to completion.
- Develop a “Best Practice” review and improvement process (such as Kaizen events) to increase efficiency.
- Draft presentations to Senior Management and external clients.
- Assist Senior Leadership with facilitation and preparation for weekly, monthly, and quarterly meetings (preparation of agendas, materials, and minutes; track key decisions and actions).
- Develop and maintain corporate measures and metrics.
- Develop and maintain the internal communication platform (SharePoint).
Qualifications/Experience:
- Prior experience working in the mortgage industry required. Previous insurance experience preferred
- 10 years relevant experience preferred; Bachelor’s Degree (or equivalent combination of High School Diploma / GED and work experience); MBA or consulting experience preferred.
- Strong project management skills with demonstrated experience leading initiatives across a distributed organization structure.
- Prior Project Management experience successfully managing large scale projects and programs from initiation through execution in the mortgage industry or financial services companies.
- Exposure to waterfall and Agile project lifecycle and project management best practices/methodologies.
- Must be familiar with data mapping and understand the life cycle of a project including software development life cycle.
- Ability to network and influence others in order to accomplish assigned tasks.
- Ability to gather, consolidate and synthesize information from various sources; proactive individual who is able to act on own initiative.
- Ensure compliance with business policies, processes and practices. Role model ethical standards, professionalism and code of conduct.
- Knowledge of process improvement and project management methodologies.
- Strong Microsoft Office skills, particularly in using Visio to map and develop process flows, Excel to compile and analyze data, PowerPoint to develop presentations, and Project to develop project plans.
- Microsoft SharePoint skills.
- Perform other duties and responsibilities as assigned.

Preferred:
- Formal training/ certification in Project Management (PMP), Six Sigma (SSBB), Agile / Certified Scrum Master methodologies.
- Experience using the ServiceNow Project Portfolio Management (PPM) module.
