Summary
The Workplace Experience Coordinator is responsible for managing day-to-day interactions with employees, contractors, and vendors, ensuring efficient operations across various facility functions. This role will focus on reception and visitor management, mail distribution, amenities, equipment, vendor relations, and event support to foster a welcoming, efficient, and safe work environment.
Responsibilities:
- Greet visitors, manage check-ins, provide badges, answer phones, and handle facility-related inquiries.
- Oversee hoteling reservations, shared workspace technology, equipment lending, and maintenance of common areas and storage rooms.
- Build and maintain vendor relationships, track contracts, manage inventory, and ensure cost-effective service delivery.
- Address work orders, implement process improvements, maintain emergency preparedness equipment, and manage mailroom operations.
- Facilitate room reservations, setup/breakdown, AV/IT support, and catering for meetings and events.
- Collaborate with property management to resolve maintenance issues, distribute facility updates, and manage communications.
- Conduct regular inspections, space audits, and track data for sustainability and facility improvements.
- Support facility tours, special events, and other responsibilities as needed.
Required Qualifications:
- High School diploma or GED
Preferred Qualifications:
- Experience in workplace operations, facilities management, or a related field.
- Strong organizational and problem-solving skills.
- Excellent communication and interpersonal abilities.
- Ability to manage multiple priorities and vendors simultaneously.
- Proficiency in office technology and basic AV troubleshooting.
Physical Requirements
- Able to occasionally lift up to 50 lbs.
