1st Advantage Federal Credit Union is currently seeking a full time Executive Assistant to support our Administration Department. Scheduled hours will be 40 hours per week between the hours of 8:30 a.m. to 5:00 p.m. Monday through Friday. Flexibility to work 1 evening a month for the board meeting and to travel once a year for the Executive Strategic Planning Retreat. Occasional (twice a year) weekend work for colleague/foundations events. The Executive Assistant performs a broad spectrum of complex, senior level clerical, technical and administrative duties in support of executive staff and the Board of Directors. Supports a variety of special projects that touch all areas of the organization. Responsibilities require research, analytical and evaluation support for strategic initiatives and goals. This position requires a significant level of diplomacy and trust under limited supervision.

Executive Assistant Essential Functions & Responsibilities
- Provides high level clerical, technical and administrative support to the Executive Team, Board of Directors and serve as back-up to the Senior Executive Assistant & Board Liaison and Administrative Assistant.
- Performs vendor management work through the NContracts software system for Executive staff. This includes but is not limited to: requesting due diligence from current and prospective vendors, maintaining vendor contract information m escalating risk summaries for executive review, ensuring current contracts are stored within the system, and logging critical incidents.
- Balance monthly credit card statements for all executives. Review monthly general ledger reports from FAD for accuracy, forward to supervisor for approval.
- Greets visitors to the Executive wing and maintains effective business relations with staff, management, credit union members, vendors and other business professionals.
- Supports 1st Advantage's 1A Foundation work to include but not limited to assembling donation packages for delivery, communications out to contributors, and summarizing data for executive meetings.
- Attends and transcribes monthly evening board meetings as needed.
- Takes minutes for executive meetings.
- Coordinates travel planning (booking conferences, flights, rental cars and hotels) for Executives and Board of Directors. Attends annual off-site Executive Strategic Planning Retreat that includes overnight travel.
- Supports colleague events throughout the year to include assistance in planning and event presence.
- Assists project management in facilitating executive work.
- Prepares invoices and tracks financials for CUSOs.
- Other projects and duties as assigned.
Performance Measurement
- Performs analytical work with great attention to detail and minimal errors.
- Serves as a back-up for Board meetings as needed and transcribe minutes for that meeting.
- Resolves or appropriately refers questions, requests, complaints and problems in a timely and professional manner.
- Performs assigned functions in accordance with policies and procedures and promotes goodwill and a positive image of the Credit Union.
- Researches, compiles, prepares, analyzes, evaluates and supports projects, initiatives or strategic goals as designated by the various business lines.
- Supports the community outreach activities such as the 1st Advantage Foundation.
- Performs special projects as assigned.
Qualifications:
Experience Five years to eight years of similar or related experience.
Education (1) A bachelor's degree, or (2) achievement of formal certifications recognized in the industry as equivalent to a bachelor's degree (e.g., information technology certifications in lieu of a degree).
Interpersonal Skills Work involves extensive personal contact with others and is of a personal or sensitive nature. Motivating, influencing, and/or training others is key at this level. Outside contacts become important and fostering sound relationships with other entities (companies and/or individuals) becomes necessary and often requires the ability to influence and/or sell ideas or services to others.

Discussion involves a higher degree of confidentiality and discretion, requiring diplomacy and tact in communication.
