Position Overview:
We are seeking a detail-oriented and analytical Job Costing and Payroll Specialist to join our team. This role is responsible for ensuring accurate tracking of job-related expenses, labor costs, and timely payroll processing. The ideal candidate has a strong understanding of job costing systems, payroll regulations, and accounting principles—preferably in construction, plumbing, HVAC, or a service-based environment.
Key Responsibilities:Job Costing:
- Maintain and update job costing records across all active projects.
- Allocate labor, materials, equipment, and subcontractor costs to specific jobs.
- Reconcile job cost reports with actuals and budgeted numbers.
- Work closely with project managers to ensure accurate and timely cost reporting.
- Assist with month-end and year-end closing related to job costing.
- Analyze profitability by job and generate reports for leadership.
Payroll:
- Process bi-weekly (or weekly) payroll for hourly and salaried employees.
- Track employee hours, timecards, and job allocations using payroll/time tracking software.
- Ensure compliance with federal, state, and local wage and hour laws.
- Administer deductions, benefits, bonuses, and commission pay structures.
- Prepare and file payroll tax reports and manage year-end W-2s and 1099s.
- Support audits and provide payroll documentation as required.
Qualifications:
- 3 years of experience in job costing and payroll, preferably in construction or skilled trades.
- Proficient in accounting software (e.g., QuickBooks, Sage, Foundation, Viewpoint, ServiceTitan).
- Strong understanding of labor laws, prevailing wage, and certified payroll (if applicable).
- High attention to detail and accuracy.
- Excellent communication and organizational skills.
- Ability to handle sensitive information with confidentiality.
Preferred Skills:
- Experience with ServiceTitan or similar field service software.
- Knowledge of union vs. non-union payroll rules (if applicable).
- Familiarity with cost code structures and chart of accounts.
