As the Administrative Assistant at our Favrot & Shane office, you'll play a crucial role in supporting the team in executing and managing various aspects of finance, risk management, development and construction. Your organizational skills and attention to detail will contribute significantly to the smooth operation of activities within the organization.
Administrative Support:
- Provide comprehensive administrative support to the team, including calendar management, scheduling meetings, and coordinating appointments.
- Assist in preparing and formatting reports, presentations, and documentation related to claims, insurance, lender reporting and analysis.
- Handle correspondence, emails, and phone calls, ensuring timely and professional communication on behalf of the team.
- Credit card statement administration

Coordination with vendor, including:
- Mailing design samples back
- Ordering design samples
- Responding to lender requests
- Requesting certificates of insurance
- Entering Data into various management systems, including:
- iCE Claim Management
- Claim Wizard Claim Management
- Internal database management
Data Management and Analysis:
- Assist in maintaining and organizing databases, spreadsheets, and files
- Help gather and compile data for risk reports and analysis, ensuring accuracy and completeness.
Documentation and Record Keeping:
- Maintain accurate records and documentation related to finance, risk management activities, development and construction, ensuring they comply with established policies and procedures.
- Support in the creation and management of documentation for processes and procedures.
Meeting Coordination and Support:
- Organize and coordinate meetings, including preparing agendas, arranging logistics, and taking minutes when required.
- Assist in distributing meeting materials and ensuring follow-up actions are documented and tracked.
