OVERVIEW
We are seeking a dedicated and organized Receptionist/Administrative Assistant to join our team. This role is essential in providing exceptional customer service and administrative support to ensure the smooth operation of our office. The ideal candidate will possess strong communication skills, a friendly demeanor, and the ability to manage multiple tasks efficiently. The position responsibilities and requirements are as follows:
Responsibilities:
- Greet visitors and clients warmly, providing a positive first impression of the organization.
- Answer phone calls and respond to inquiries in a professional manner, directing calls as necessary.
- Manage scheduling and appointments for staff members, ensuring efficient use of time and resources.
- Perform data entry tasks accurately and maintain organized records for easy access.
- Assist with customer support tasks, addressing client needs and resolving issues promptly.
- Utilize Microsoft Suite for document creation, scheduling, and communication purposes.
- Maintain an organized reception area, ensuring it is welcoming and tidy at all times.
- Provide personal assistant support as needed, including clerical tasks such as filing and typing documents.
- Collaborate with team members to ensure efficient office operations.
- Assist doctors and other care providers as needed
Experience
- Proven experience in a receptionist or administrative role is preferred but not mandatory.
- Strong computer literacy with proficiency in Microsoft Suite applications.
- Familiarity with electronic medical records (EMR) systems is a plus
- Excellent organizational skills with the ability to prioritize tasks effectively.
- Previous experience as a dental receptionist or in a customer service environment is a plus.
- Ability to type efficiently and accurately while managing multiple responsibilities simultaneously.
- Maintain confidentiality and follow HIPAA regulations
- A friendly, professional attitude with strong interpersonal skills to foster positive relationships with clients and colleagues.
- Education: Associate degree preferred; H.S diploma or equivalent required
- Must be punctual and reliable
- Background check required prior to employment
