Position Summary: As the Fleet Coordinator, you will play a pivotal role in our operations by efficiently managing our fleet of vehicles and overseeing the inventory of parts, and will use fleet management software systems to do so. You will be responsible for ensuring that our fleet is maintained to the highest standards, and that our inventory of parts is accurately tracked and replenished as needed.

Essential Duties and Responsibilities:

  • Maintain effective communications with company field staff to make sure company vehicles are inspected and registered with state agencies as required.
  • Coordinate and oversee the maintenance and repair of company vehicles using fleet management software.
  • Schedule routine maintenance, inspections, and repairs for all vehicles in accordance with manufacturer guidelines and company policies.
  • Monitor fuel usage, mileage, and other key metrics to optimize fleet performance and efficiency.
  • Maintain accurate records of vehicle maintenance, repairs, and inspections.
  • Conduct regular audits of inventory to ensure accuracy and prevent shortages.
  • Work closely with vendors and suppliers to negotiate pricing and ensure timely delivery of parts.
  • Assist with the development and implementation of inventory management procedures and best practices.
  • Collaborate with other departments to fulfill parts requests and support operational needs.
  • Provide exceptional customer service to internal stakeholders and external partners.
  • Perform other duties as assigned by the company.

Education and Professional Licensing or Certifications

  • Required Education: High School Diploma or equivalent.
  • Preferred Education: Bachelor's degree in Business Administration, Supply Chain Management, or related field.
  • Required: Valid driver’s license with acceptable motor vehicle record.

Knowledge, Skills and Abilities:

  • Previous experience in fleet management, parts inventory management, or related field is highly desirable.
  • Proficiency in Fleetio or similar fleet management software is a plus.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to multitask and prioritize tasks in a fast-paced environment.
  • Strong problem-solving abilities and a proactive approach to addressing issues.
  • Ability to work independently with minimal supervision.
  • Flexibility to adapt to changing priorities and responsibilities.

Physical Requirements

  • Most duties are performed in an office environment from a seated position.
  • Frequent speaking and listening communications with multiple parties.
  • Able to use a personal computer with manual dexterity to operate a keyboard.
  • Meet requirements to have a valid driver’s license.
