Job Summary
The Practice Manager at 4EverYoung Anti Aging Solutions will focus on driving patient acquisition and retention through effective marketing, CRM management, and exceptional front desk operations. This role requires a dynamic individual who can oversee patient lead management, coordinate marketing events, and ensure a seamless client experience from the first point of contact. The ideal candidate thrives in a fast-paced, customer-focused environment and has a strong background in marketing, lead management, and administrative coordination.
Key Responsibilities
Marketing & Event Coordination
Develop and implement marketing strategies to attract new clients and retain existing ones.
Coordinate and execute marketing events, including open houses, educational seminars, and client appreciation days.
Manage social media accounts, email campaigns, and promotional efforts to enhance brand visibility.
CRM and Lead Management
Manage and optimize the CRM system to track leads, schedule follow-ups, and maintain client information.
Ensure timely follow-up on all patient inquiries, including phone calls, emails, and online submissions.
Monitor lead conversion rates and identify opportunities to improve the patient acquisition process.
Client Experience & Front Desk Operations
Oversee front desk operations, ensuring a welcoming and professional client experience.
Assist with scheduling appointments, checking patients in and out, and processing payments.
Address client inquiries, complaints, and concerns promptly and professionally.
Event and Patient Coordination
Plan and manage special events, ensuring they align with the spa's branding and business goals.
Act as the point person for event logistics, including vendor communication, setup, and promotion.
Support the patient journey, from initial inquiry to post-treatment follow-up, ensuring a high level of satisfaction.
Qualifications
Education & Experience
Bachelors degree in Marketing, Business Administration, or a related field (preferred).
Minimum of [2-4] years of experience working in a Med spa specializing in marketing, CRM management, or medical spa operations.
Proficiency in CRM systems, practice management software, and social media platforms.
Skills & Competencies
Strong organizational skills and attention to detail.
Excellent verbal and written communication abilities.
Customer-focused mindset with the ability to handle patient concerns empathetically.
Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
Familiarity with medical spa treatments, terminology, and industry trends (preferred).
