Position Overview:
We are seeking a versatile and highly organized Operations Coordinator to join our team. This key role will support a wide range of functions, including administration of the company fleet, payroll administration, accounting tasks, and assisting the C-suite with various administrative duties. The Operations Coordinator will also act as the HR representative for the company, managing employee benefits programs and supporting HR-related functions. The ideal candidate will possess strong multitasking abilities, attention to detail, and a proactive mindset, with the ability to work closely with senior leadership and other departments.
Key Responsibilities:
Human Resources: Note: one of the two main functions of the position, listed first.
- Act as the HR representative for the company, handling employee inquiries and providing support on HR policies and procedures.
- Administer employee benefits programs, including health insurance, retirement plans, and other perks.
- Assist in recruitment efforts, onboarding new employees, and maintaining employee records.
- Ensure compliance with all federal, state, and local labor laws and regulations.
- Manage employee time off requests, including vacation, sick leave, and other paid time off.
Accounts Receivable and Accounting Support: Note: the other main function of the position.
- Actively monitor and manage Accounts Receivable, keeping all collections within company standards.
- Support the CFO and Controller with financial reporting, budgeting, and auditing tasks as needed.
- Administer employee payroll, ensuring accuracy and timely processing.
- Assist with accounting functions, including invoicing, expense tracking, and financial record keeping.
Fleet Administration:
- Maintain accurate records of all fleet vehicles, including insurance, registration, and inspection details.
C-Suite Administration:
- Provide administrative support to the C-suite executives, including scheduling meetings, managing communications, and preparing documents.
- Maintain the office and cleaning supplies.
- Daily errands to include the bank and the post office plus any additional required.
- Assist with special projects and other tasks as directed by the C-suite.
Other Duties:
- Perform other duties as assigned to support the overall operations of the company.
Qualifications:
- 2 years of experience in an administrative or operations support role, preferably in a fleet, HR, or accounting environment.
- Experience with HR functions, including benefits administration and employee relations.
- Basic understanding of accounting principles.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent organizational, communication, and time management skills.
- Ability to handle confidential information with discretion.
- Strong attention to detail and ability to multitask effectively in a fast-paced environment.
- Previous experience in Accounts Receivable and Payroll Administration is a plus.
Physical Requirements:
- Ability to sit or stand for extended periods of time.
- Occasional lifting of up to 20 lbs. may be required.

Compensation:
- $17-22.00 hourly, based on experience.
