Position Overview
We are seeking a highly organized, resourceful, and detail-oriented Executive Assistant to support the leadership team in managing projects, transactions, and marketing efforts. The ideal candidate will thrive in a fast-paced environment, juggling a variety of responsibilities while maintaining a high level of professionalism and accuracy.
Key Responsibilities
1. Client and Stakeholder Communications
- Professionally manage phone calls, emails, and inquiries from clients, investors, and stakeholders.
- Provide regular updates to clients and leadership regarding project and transaction progress.
- Coordinate follow-ups and maintain positive client relationships.
2. Project Management
- Plan, organize, and execute internal and external projects with clear timelines and deliverables.
- Assist in event planning, including logistics, RSVPs, and on-site setup for client appreciation or fundraising events.
- Conduct thorough research on markets, opportunities, and investors to support strategic initiatives.
3. Administrative Support
- Perform daily administrative tasks, such as scheduling meetings, managing calendars, and organizing files.
- Maintain accurate and organized records of transactions, contracts, and projects.
- Anticipate the needs of leadership and proactively provide support to ensure operations run smoothly.
4. Marketing and Branding
- Design and produce visually appealing marketing materials using tools like Canva (flyers, presentations, social media content).
- Assist with social media planning and execution to align with the company’s branding and outreach goals.
- Collaborate on email campaigns and fundraising materials to attract investors and clients.
5. Real Estate and Transaction Coordination
- Manage and organize real estate transaction paperwork and ensure deadlines are met.
- Coordinate real estate deals, including document tracking and ensuring compliance with checklists.
- Create and maintain detailed spreadsheets for transaction progress and project tracking.
Key Qualifications
- Organized & Detail-Oriented: Ability to follow instructions meticulously and manage multiple priorities simultaneously.
- Resourceful & Proactive: Skilled at problem-solving and independently finding solutions.
- Strong Communication Skills: Professional demeanor with excellent verbal and written communication.
- Technical Skills: Proficiency in Canva, Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and basic CRM platforms.
- Real Estate Knowledge (Preferred): Experience with real estate, commercial real estate transactions, or fundraising is a plus.
- Fast-Paced Adaptability: Ability to remain calm under pressure while juggling a variety of tasks.
