Job Summary: The Fleet Manager oversees the company’s vehicle fleet and ensures its safe, efficient, and cost-effective operation. This role manages all vehicle-related functions, including maintenance schedules, repairs, licensing and registration, insurance and accident claims, and regulatory compliance (DMV/DOT). The Fleet Manager works closely with drivers and other departments to maximize vehicle uptime and ensure the fleet meets all safety and legal requirements

. This position involves daily operational tasks and strategic planning for fleet needs (vehicle replacements, budgeting for maintenance, etc.).

Key Duties and Responsibilities:

  • Vehicle Maintenance: Develop and implement preventive maintenance schedules for all fleet vehicles. Coordinate routine servicing and prompt repair of vehicles to minimize downtime and extend vehicle life​. Maintain relationships with external repair shops, dealers, and service providers.
  • Inspections & Safety Compliance: Ensure all vehicles undergo required safety and emissions inspections. Keep detailed maintenance and inspection records to demonstrate regulatory compliance​. Address any safety issues immediately and pull vehicles from service if unsafe.
  • Registration & Documentation: Manage vehicle registration, licensing, and titling. Process new vehicle registrations and renewals on time; maintain an organized record of registration documents, license plates, and state/local permits for each vehicle​.
  • Regulatory Compliance (DOT): Ensure the fleet meets all Department of Transportation regulations and standards. Coordinate annual DOT inspections, maintain required documentation (e.g., yearly inspection forms, if applicable), and work with compliance agencies or services to file necessary reports. Assist in monitoring drivers’ compliance with DOT rules (like Hours-of-Service) in coordination with HR/Safety.
  • Insurance & Claims: Administer the fleet’s insurance policies. Keep insurance coverage adequate for fleet risks and update policies as vehicles are added/removed​. In the event of accidents, manage the end-to-end claims process: gather accident details, file insurance claims, and work with insurers and repair shops to expedite claim resolution and vehicle repairs​. Maintain an accident log and develop strategies to reduce future incidents.
  • Fuel & Expense Management: Oversee fuel purchasing programs (fuel cards or on-site tanks). Monitor fuel usage by vehicle and driver, investigate anomalies (such as excessive fuel use or irregular transactions), and optimize fuel efficiency across the fleet. Track other fleet-related expenses (maintenance costs, tolls, etc.) and provide input on budgeting and cost control for fleet operations.
  • Fleet Procurement & Disposition: Work with management on specifying and acquiring new vehicles when needed (research vehicle options, obtain quotes, coordinate delivery). Similarly, coordinate the decommissioning or sale of older vehicles, ensuring maximum resale value and proper transfer of titles.
  • Inventory & Supplies: Manage inventory of fleet supplies like tires, parts, and tools. Ensure essential supplies are available for routine maintenance or minor repairs. Oversee company vehicle assets like GPS/telematics units or special equipment (installing new vehicles, repairing or replacing as needed).
  • Communication & Reporting: Act as the point of contact for all fleet-related inquiries. Communicate with drivers regarding vehicle assignments, maintenance appointments, and any policy changes (like new safety procedures). Provide regular reports to management on fleet performance, costs, vehicle conditions, and improvement recommendations.
  • Emergency Response: Be available (or on-call) to respond to vehicle emergencies or breakdowns. Coordinate roadside assistance or towing services. In crises (e.g., a significant accident or multiple vehicles out of service), liaise with operations to rearrange resources and minimize disruption.

Qualifications and Skills:

  • Education and Experience: A high school diploma or equivalent is required. A college degree in logistics, automotive technology, or business is a plus but not mandatory – practical experience is highly valued (many fleet managers advance from driver or mechanic roles; Experience: 3 years in fleet operations, automotive maintenance, or transportation logistics, with at least 1-2 years in a supervisory or coordinator capacity.
  • Technical Knowledge: Strong understanding of vehicle maintenance requirements and automotive systems. Ability to identify fundamental vehicle issues and communicate effectively with mechanics. Familiarity with DOT regulations and compliance procedures for commercial vehicles.
  • Organizational Skills: Excellent record-keeping and organizational abilities. Able to juggle multiple schedules (maintenance calendars, registration renewals, etc.) and keep track of numerous compliance deadlines and documents. Proficiency with fleet management software or databases is desirable for tracking vehicles and maintenance records.
  • Communication Skills: Clear communication skills to coordinate with drivers, vendors, and management. Capable of writing concise reports and documenting procedures. Training or instructing drivers on basic vehicle care or reporting protocols should be comfortable.
  • Problem-solving: Reacting quickly to unexpected issues (breakdowns, accidents). Strong analytical skills to find cost-effective solutions (e.g., deciding whether to repair or retire a vehicle based on data). Must be proactive in identifying and addressing fleet issues to avoid disruptions in operations.
